Yale University Library Patron Has List:
A Step-by-Step User's Guide

The Yale University Library Patron Has List is designed to help Library staff determine what books are charged out to which patrons. The Patron Has List is comprised of 3 different search criteria: Single Patron, Frontlog, and Multiple Patrons. Limiting your search to one these criteria will return different results, depending on the criteria you choose.

• NOTE: Your ability to search the different criteria is dependent on the permissions you have in Voyager.
Consequently, some staff will be able to search with criteria that others will not.
Only Yale University Library staff have permissions to use this tool.

Getting Started:

• Open Internet Explorer and go to the Staff Front Door. Click on the YUL Toolkit (Collection Analysis/ Exchange Rate Calculator/ NOTIS Record Archive).
• NOTE: Use only Internet Explorer to operate the Patron Has List.
Both Mozilla Firefox and Netscape have returned errors while while using this tool.

• Login to the Yale CAS with your NetID and password. The Patron Has List will now display.

• REMINDER: Never share your NetID or your password with ANYONE.


Searching with the Patron Has List:

1. Searching by Single Patron:
The Single Patron section of the Patron Has List is useful for finding items charged to a specific patron. It is similar to the Your Library Account page in Orbis, but with the added function of exporting to Excel. This section is intended primarily for staff supporting circulation functions.

You can search by NetID, Institution ID, or patron barcode (scanned in from Yale ID cards and pseudo-patron cards or typed in manually). Examples:

NetID : yale05

Institution ID : DPT9999999
(A department pseudo-patron)

Barcode

(a number located beneath the barcode of a pseudo-patron or your badge ID number)

Select the option you wish to search under and enter the corresponding information in the text box and click the Submit button. Go to the next section of this User's Guide, Displaying and Reading Your Results .

2. Searching the Frontlog:
The Frontlog (FROG only) section of the Patron Has List is useful for finding items charged to the frontlog since 1997, sorted by charge date. It is intended for Technical Services staff who manage the library's frontlog.
Compared to the other search options, this section of the search will return the most results, especially if the date range is very large, or if the dates are very recent. Consequently, some searches will result in an error message if their results are too large. It is therefore RECOMMENDED that you split up searches on more recent dates into no greater than 3-month chunks, as a list of more than 20,000 items will result in an error message.

Select the date range you wish to search under and click the Submit button. Go to the next section of this User's Guide, Displaying and Reading Your Results .


3. Searching Multiple Patrons:
The Multiple Patrons section of the Patron Has List is useful for finding items charged to a group of different patrons, like finding all the books charged to multiple pseudo-patrons used by one department. You must already have the patron or pseudo-patron barcodes. You can set the
Patron Has List to return a list of items or an item count by selecting List of Items Charged or Count Only, respectively.

Select the option you wish to search under and enter the corresponding information in the text box and click the Submit button. Go to the next section of this User's Guide, Displaying and Reading Your Results.

Displaying and Reading Your Results:

Once the Patron Has List had populated the search results in your browser window (this may take some time depending upon the number of items your search has returned- watch the mouse pointer when you position it over the bottom of the page),  scroll down to view the complete list. Depending on what you've searched under, the columns will be a little different for each search. The items in the list switch color from brown to blue for easier viewing. OVERDUE items will be listed twice, in red text. The number of results will be displayed once you've exported the results to Excel.

To view this list in Excel, click the Export button at the bottom of the page. This may take a few minutes, depending on the size of your results. To save this spreadsheet to your PC, go to File>>Save As… and specify where you want to save the file. Under Save as type, select Microsoft Excel Workbook (*.xls).
