Document Delivery Coordinating Committee

Minutes, September 19, 2001

Present: Barbara Amato, Martha Clark, Suzanne Eggleston Lovejoy, Denise Hersey (Chair), Carol Jones, Maureen Jones, Mary Angelotti, Matthew Beacom (guest)

Absent: Jennifer Kostelnik, Susan Burdick

  1. Announcements: SML has assumed the responsibility for the Music Library’s ILL.
  2. Unit Cost Study: We reviewed Matthew’s excellent report on the unit cost study. The group made some minor suggestions which Matthew agreed to. He will revise the document and send it out to use by next Monday for us to review again before next Wednesday’s meeting.
  3.

  4. User Satisfaction Survey: The group discussed taking over responsibility for this survey from Holly Grossetta Nardini. Carol noted that we should first review the results from the first survey to determine what we actually learned about how our readers view our service. No one in the group remembered ever getting a summary of the results but Maureen thought she might have them from a Customer Service Institute meeting. She will check and forward us all this information if she has it.
  5. We also felt that to effectively repeat such a survey, we needed assistance on using the Access database into which the original survey responses were entered. Denise will contact George Ouellette about this since he created that database.

We would also like to ask Holly’s advice on approaches to assessment, such as focus groups. We decided that perhaps we should devote an entire meeting to this. Denise will talk to Holly to determine a good date.

  6. Pigasus Update: Carol said that we could begin populating the Pigasus supplier files. She will find out if we can download files from OCLC. The rest of us need to send Carol a list of libraries we use the most often so that they can be added to the supplier files right away.

Debbie McGraw will contact Autographics to request that our warranty for Wings be extended because our training had to be rescheduled due to events in New York.

We decided to meet next week to start looking at the generic version of Wings which we currently have access to. Carol will try to schedule a room for this.

V. ILL Statistics: Carol handed out a list of ILL terms and definitions for the group's review and commentary. We have agreed to continue to count "found at Yale" requests, but the other terms and how to deal with them still need to be resolved. As we began to discuss how Borrow Direct might be affecting our ILL statistics, we decided that it would be useful to have a future meeting about Borrow Direct with Danuta.
