Minutes, March 7, 2001

Present: Matthew Beacom, Susan Burdick, Holly Grossetta Nardini, Denise Hersey, Carol Jones, Sue Lorimer (Chair)

  1. Announcements

    Carol announced that she, Susan, and Denise are scheduled to have a demonstration of ILLiad in a production setting at Wesleyan on Monday, March 12. She also announced that it has continued to be impossible to schedule a meeting of the ILL Support Group.

  2. Commercial document supplier pilot project (Denise and Carol will coordinate this project)

    Carol and Denise will meet Friday, March 9, to discuss the organization of this project. The Group will discuss this at our next meeting, March 14.

  3. Discussion of baseline statistics gathering

    Carol will talk with Law to see if they want to particpate in the gathering of the campus-wide baseline data.

    • Turnaround time (Carol)

      We reviewed the written instructions for completing the turnaround time data sheets.

    • User survey (Holly)

      We reviewed the text of the user survey and discussed the wording of several of the items. The survey will be attached or inserted into all items received on ILL or sent out as an email message to readers whose ILL request is filled electronically or unfilled. The requests involved in the survey will be those selected by each ILL unit for inclusion in the turnaround time study (March 19-30). In addition, there will be a web form as well to which readers will be directed if they desire anonymity in their response; Holly will work with George on this. Holly will distribute the text of the survey to all ILL supervisors in advance so they can convert the text to stationery in Eudora to facilitate the survey's distribution. Holly will also write an instruction sheet concerning the distribution of the user survey for those staff who will be emailing the survey to readers. Wes will link the the user survey as a web form from the EDD site.

    • Unit cost

      Sue announced that she had met with Debbie McGraw on March 2 about gathering the system-wide uniform costs for ILL, and Debbie will begin this undertaking. We will need to supply her with detailed information about the staff involved in our ILL activities in order for her to calculate staffing costs for FY2000.

  4. Due to the amount of work the Group is involved in, we will return to our schedule of meeting weekly for the foreseeable future beginning with the meeting of Wednesday, March 7.
