Document Delivery Coordinating Committee
Minutes, May 30, 2001

Present: Barbara Amato, Matthew Beacom, Susan Burdick, Martha Clark, Suzanne Eggleston Lovejoy, Holly Grossetta Nardini, Denise Hersey (Chair), Carol Jones, Jennifer Kostelnik, Sue Lorimer

Absent: Mary Angelotti, Maureen Jones

I. Announcements: Jennifer notified us that there will be new ILL pages and forms off of the Library's new front door page. She will send us the new versions of the forms for our comments. Carol mentioned that ILL's "machine city" space has been authorized and renovation will begin some time next week. Hopefully it will be ready for ILL staff by the end of the summer.

II. DDG unit cost survey: Matthew is still waiting for George to give him worksheet 6 in Excel format. He did give the group some preliminary statistics from each worksheet. He also proposed that we have a summary page for each worksheet with the totals for all of the libraries. He will try to estimate the unit costs by next week.

III. D2C2 Announcements: At this point, DDG members left and D2C2 began with their own announcements. Denise had contacted Kim Parker to ask if she could attend one of our meetings. We had wanted her advice on using Yale's own electronic resources and we had questions on the licensing agreements for such resources. Kim will be happy to attend one of our meetings, the best dates for her being 6/13 or 6/27. As a group, we decided on 6/27. Denise will contact Kim to confirm that date.

Denise also informed the group that the Prospero software at the Social Science Library was not functioning properly. As a result, Social Science has not been able to offer electronic document delivery as an option for patrons as soon as they had hoped. Denise said that she had just had a conversation with Wes Most from ITS which will help in solving the problem. Susan mentioned that Divinity will try to begin using Prospero after their move to new temporary quarters. Sterling has it installed but is not using it just yet. Medical is waiting until after Pigasus is up and running.

Carol is working on copyright reporting for the calendar year 2000. She asked that everyone send her the requests they received for articles that were published within the last five years. She needs journal title, vol., year. and number of pages for each request.

We also spoke briefly about how our Infotrieve test is going. Susan mentioned that she had trouble getting into the Infotrieve website this morning. It appeared that their site was down for awhile. She was eventually able to place the order. Jennifer said that she had found it strange that there had been no notification regarding orders Science had placed a number of days ago. Denise mentioned that she had been many of the emails regarding libraries' requests which could not be filled. She had forwarded them on. It was also mentioned that libraries can look at the status of their own orders on Infotrieve's website after they logon. Denise will try to get the logon for the administrator's account so she can begin to examine Infotrieve's handling of all of the libraries' requests. She'll try to bring some figures to the group next week.

IV. Pigasus Subcommittees: Carol informed us that the implementation group will be getting in touch with each of us by next week. As a result, we will begin discussion of our assignments at our next meeting.
