Document Delivery Coordinating Committee
Minutes, June 6, 2001

Present: Barbara Amato, Matthew Beacom, Susan Burdick, Suzanne Eggleston Lovejoy, Holly Grossetta Nardini, Denise Hersey (Chair), Carol Jones, Jennifer Kostelnik, Sue Lorimer, Maureen Jones, Mary Angelotti

Absent: Martha Clark

I. Announcements: The new ILL pages are "up." Many compliments to Jennifer Kostelnik for her work on these pages. Some questions were raised however regarding whether we needed to require patrons to click on the copyright link in order to proceed with their transaction. Carol also asked that a link to the Music Library Information page be added. Also, Endeavor add-on products have been reviewed.

II. DDG -- Review of Unit Cost Survey: Matthew has done summary Excel sheets for worksheets 3-5, 7, and 8. He will check with George for worksheet 6. Worksheet 2 is not yet in Excel. Matthew will bring copies of the spreadsheets for the group to review at our next meeting. Danuta wants unit costs by our 6/27 meeting so she can report them to LMC. Matthew should have a good ballpark figure by then.

III. Infotrieve Updates: There were many problems to report regarding the use of Infotrieve -- you have to call Infotrieve to cancel an order; Denise has been getting email messages for the individual libraries and has had to forward them on; filled requests with missing pages; a document arieled to SML but really for KSL; receiving emails that a request can't be filled after having already gotten the item. We decided that we would discuss these problems, any successes, and copyright costs for this project during the meeting of June 20.

IV. Discussion on ILL of items we own to Yale patrons who are away from Yale: We began a discussion of whether or not to send Yale items to our patrons who may be away from campus. What are our current practices? Is this an ILL transaction or is Access Services responsible? After realizing that this issue required more in depth discussion, we decided to come back to it at another meeting.

V. Pigasus Subcommittee work: Carol asked that we begin looking at our individual units' workflow and procedures as they currently exist.
