Minutes for February 19, 2002

1. The minutes for the meeting February 12 (Nellhaus) were reviewed, revised with minor changes and approved.

2. Announcements - Nicole Bouche announced she will send along the meeting minutes to Cesar Zapata after approval. He will add them to the Bibliographic Access Group portion of the SQIC web site. Cesar will also add the dates of all the group's meetings to the website, in order to keep an accurate record of all past meeting dates.

3. Catalog Management Policy for Missing Material - The essential contents of the Bibliographic Access Group's final report to SQIC would include:

· A cover memo with the unanimous opinion of the Bibliographic Access Group that a decision must be made on this issue soon since it will impact on the implementation of ORBIS 2 and on research services dealing with missing material.
· A single page summary of majority and minority opinions on recommendations.
· Attachments - including a detailed itemization of the consequences for each recommendation, and a rough draft of the "help pop-up page" wording for ORBIS 2.

4. Kerberized Telnet - Tobin Nellhaus received confirmation from Richard Crane of ITS that there would be few proxy server issues with the new Kerberized Telnet access to the University Library's databases. With Crane's information, the Bibliographic Access Group made an educated guess that there should be few difficulties with implementation and that problems will be addressed as they arise. Similarly for those patrons using UNIX for access, any problems will be addressed as they occur. The Chair of the Bibliographic Access Group distributed a document laying out the plans and procedures for implementing the new Kerberized Telnet authentication process. The document included the wording and terminology to be used for messages and announcements to the public and staff prior to and after implementation. The Group will consult with the Library Systems office about the schedule for implementation after which these announcements will go out warning staff and patrons of these access changes.


5. OPAC Implementation - Notes from the ORBIS 2 OPAC Implementation Group concerning MARC tag labeling were shared with the Bibliographic Access Group for input. These labels would appear in the public catalog in brief and long displays. The Bibliographic Access Group looked through the recommendations for each MARC field, and agreed with the Implementation Group's recommendations or requested further clarification where agreement could not be met.
