1. Minutes for the 8/21/2001 meeting were not yet available.
2. NB will report to SQIC next week on BAG activities to date.
3. Lines of reporting and authority: BAG reports everything in some
way to SQIC to keep it informed on issues in a timely manner, and to
receive guidance on the path for pursuing issues and making policy recommendations.
In most cases, posting minutes on the BAG website is sufficient to keep
SQIC members and the chair informed.
4. NB reported on her meeting with Audrey Novak.
(A) Problem of locations: the number of locations does *not* affect
the Voyager system performance -- the problem is maintenance and labor.
"100" locations was merely a suggestion of manageable number.
(B) Audrey Novak is chairing a locations committee, which is focusing
on the issue as it pertains to the Voyager circulation module. NOTIS
used library, location, loan type, and patron type as variables; Voyager
uses processing unit, loan type, and patron type. The problem is mapping
Orbis 1 location into the new Voyager set-up. Some current locations
might be more appropriately classified as stamps. Audrey's committee
will report back on these to BAG.
(C) Stamps list: pragmatically, since the stamps affect only about
100K records, most should just be left as they are, or follow the recommendations
for correction/change to Location, made by the CCC |k Working Group
chaired earlier this year by Martha Conway. Many of these changes can
be made by the Systems Office, through programming; a minority would
be made manually. The whole issue should sit until Audrey's location
group makes its recommendations. Audrey agrees that there need to be
clear rules on creating stamps, and locations, backed up with staff
training and support for reports and review.
(D) Putting the stamp at the end of the call number should be feasible.
Discussion: Basically, we're now waiting to hear back from Audrey's
location group and the Medical Library. The main issue outstanding appears
to be regulating the creation of stamps to avoid creating again the
sort of problems we're now having to clear up: Voyager may make it more
attractive to create stamps, since it will be hard to create new locations.
5. "Lost materials" draft policy. We briefly discussed the
current situation and past practices for tracking and reporting lost
titles in the public catalog and/or Orbis. We noted, as well, that the
draft document (full discussion of which will begin at our next meeting)
ought to include mention of what the library's policy should be when
an officially declared "lost" item subsequently is "found."
Next meeting: tentatively set for September 4, 2001, 10-11:30, Beinecke
Library. Those who cannot attend should notify Nicole immediately, so
she can attempt to reschedule.
