Bibliographic Access Group meeting minutes

Present: Nicole Bouche (chair), Steven Arakawa, Sue Crockford-Peters,

1. Nicole Bouche reported on an e-mail from Fred Martz requesting feedback
on the future of the Pancake authentication server. Pancake provides
authenticated use of telnet services like Lexis/Nexis and Citadel based
on a combination of the user's name and social security number. The
library's policy has been to eliminate use of the social security number
for authentication. Alternatives include: a) Replace the current Pancake
authentication scheme with a more secure method, b) Eliminate use of
Pancake altogether if statistics showed no significant use of telnet
services. Discussion of alternatives would take place at a later date,
after further investigation into conversion costs and usage statistics.
2. Tobin Nelhaus requested clarification on how manuscripts were cataloged
after Format Integration, with emphasis on how to efficiently search
for them in the OPAC.
3. Minutes from 08/21/2001 were approved.
4. Nicole reported on the current status of the Stamps issue vis-a-vis
the Orbis2 Locations sub-committee, led by Audrey Novak. Audrey indicated
that the number of stamps will not affect the system and does not need
to be reduced. The Library Systems Office has offered to clean up large
groups of Stamps flagged by Martha Conway's report for conversion to
location codes, etc. Remaining Stamps issues will be resolved manually.
Discussion then turned to establishing a policy for regulating the
future creation of stamps. Nicole wrote a general recommendation for
the documentation, dissemination, and inforcement of cataloging standards,
especially for fields like the Stamp that are not automatically validated
by the Library Management System. Joan Swanekamp and Steven Arakawa
will generate a draft policy for the creation of Stamps, and will report
on the implications of the new MARC holdings format for the next BAG
meeting. Sue Crockford-Peters will also write up a list of Public Services
workflow implications surrounding the creation of new Stamps and Locations.
