There was discussion of tracking of material sent via ILL. Information is available via UPS for one year. In some instances this is not long enough. As a result we may need to be more rigorous in tracking our materials to be able to take advantage of the one year of information available from UPS. The Pitney Bowes system in use by the shipping room maintains a record for 3 months.

The subject of shipping addresses was discussed. There are many libraries with similar or the same names; such as Mudd Libraries and Olin Libraries. As a result materials are often sent to the wrong library. Often there is more than one address for a particular institution. Staff will look into the possibility of adding a searchable field in the Pitney Bowes system that would hold the library symbol. Another possibility would be to inventory the addresses, keeping the most current and accurate address.

There has been an increase in the number of books that are prepared by individual library units to be sent to outside institutions that end up back on campus. One suggestion included isolating all ILL/DD books from Yale campus books in the blue boxes and another suggestion included inserting a labeled flag in books that are to be sent outside of the Yale campus. This topic is under consideration.

The subject of shipping memos and shipping labels was discussed. For the future it will be necessary to include a shipping label only if UPS is not being used for deliveries to any location outside of the United States and with no street address. Shipping memos are required with all items being sent outside of Yale.

SFX links will work on Eureka if the item in question is not owned by Yale. The button on the screen will direct the user to the ILLiad request form with the information imported into the form. For the information to be imported the patron will have to have pre-registered with ILLiad. If not pre-registered with ILLiad the information will be lost.
