Meeting Minutes for 12/12/01

I. ILL Staff Party- Group decided on who would bring particular supplies and who could set up and clean up. We decided to formally invite Danuta and Alice. Also will send out invitations to our student workers.

II. ILLWEB for OCLC Borrowing
a. Status of requests input during training- we were reminded to check our message file everyday for the status of our requests. Requests can be searched by ILL number and updated.
b. Additional requests since training- a number of people have been using the web version for their requests.
c. Problems: We discussed a number of problems that have arisen such as items being shipped to wrong libraries, unfilled requests, etc. Tried to crate procedures for handling such mistakes. Reminder to send OCLC log on sheets to Carol by the end of each month.
III. Review
a. Reviewed how to use Message files in ILLWEB for updating received materials, updating returned materials, etc. We also discussed whether or not it was important for staff to also learn how to use OCLC Passport. The majority of D2C2 felt that it wasn't necessary as long as staff were comfortable using the new web version.
b. We were reminded that we still need to notify May via Ariel of any updates for OCLC lending. May needs this information to continue updating CLIO.

IV. Ariel 3.01- Systems staff is continuing to install the new version of Ariel at ILL units. So far, it has been installed in SSL, Medical and Law. Jennifer had an EDD question regarding a patron using MSN as her browser and not able to view ILL items sent to her via Electronic Document Delivery. No one in the group could offer advice so she will ask Wes Most. There is still some question as to how to actually do EDD in the new version of Ariel. Decided to consult George Ouellete. Carol also handed out an example of a standard cover sheet that could be sent out with all items we request/borrow.

V. Illiad- The Business office is reviewing the contract. Wes is still working with Illiad on the patron authentication issue. Installation of Illiad software will take place in one day and we hope to begin training by mid-Febrary.

VI. Copyright- All units need to send Carol information on how many journals they ordered more than five copies from within the past year.
