The successful candidate for the Head of Collections Care position has withdrawn her acceptance.
As part of the NEH Grant – Middle East project a Cataloging position has been posted.
Another Conservation Assistant is needed for the Conservation Lab. There is a problem posting the position because it is an E level position and the University is still working out some of issues in E level postings.
There are three candidates for the Medical Library Preservation Coordinator. Interviews will start in a couple of weeks.
Bobbie explained that all of CCL’s collection must be moved out of CCL by June, 2006. To prepare for the move both Sterling Library and CCL are thinning out their collections by sending volumes to LSF. The remaining Sterling Collection is being consolidated in the stacks on the floors above 1M. The CCL collection will be moved to floors 1 and 1M.
Preservation was not involved in the planning for this move. As a result, they could not check the condition of the books before the move started. However, in the interim, Preservation will to try to stabilize what they can. Tara Kennedy is working on a survey that will help us to find those problems that can be handled quickly.
Cesar Rodriguez has been working on a review of 19th Century Latin American newspapers. He has found that, although the paper is often in good shape, some are in very poor condition. Bobbie suggested that he have Tara Kennedy and David Walls look at them to see what can be stabilized and what should be filmed.
Cesar also asked about the size of Yale Library’s digital collection. Bobbie didn’t know. She said that the Digital Preservation Committee, of which she is a member, is writing the policy. At this point it is in draft form and almost ready to be sent out for comment. It does not state who is going to be in charge of digital preservation. It will probably be a collaboration between IT, Collections and Preservation.
Cesar shared that Harvard has approached him with a proposal to collaborate with them in Digitizing pamphlets in the Latin American Collection. Harvard has 8,000 pamphlets while we have 18,000. This proposal generated his question.
Copies of the latest draft of the Preservation Policy were passed out and Bobbie asked for comments.
Bobbie pointed out that there is not yet a statement on how often the policy would be reviewed and updated. It was suggested that once a year should be sufficient.
Bobbie also explained that the financial section, at this point, is only a placeholder. Financial decisions have to be made on a higher management level before this section is completed.
Tara thought that by listing Preservation last in the final sentence of the second paragraph of the Policy Statement, the importance of the role of the preservation expert is obscure. The sentence was changed to read, “ Decisions related to preservation treatment for library materials are made in consultation with the relevant preservation expert, selectors, curators, and bibliographers.”
Cesar liked the definitions.
Rolfe questioned the words single items in the definition of Conservation. After a brief discussion and an explanation of the meaning of the word Conservation in the book world the sentence was changed to read, “Conservation is the physical treatment of artifacts.”
Bobbie suggested that the financial section be moved. She feels it should go after the policy statement section and before the program objectives.
Bobbie will send out the revised draft for comment. When the Preservation Committee has completed their work on the policy it will go to the Preservation Department for review. After that Bobbie will probably have Ann review it. Then it must go to CDC and finally to LMC for approval.
