Special Collections Subommittee meeting of May 13, 2003
Present: Richard Boursy, Tom Hyry, Ulla Kasten, Martha Smalley, Susan
Walker, Richard Warren
Guest: Ellen Cordes
1) We talked about our methods of recording statistics, and the various forms
we utilize in our repositories. As a follow-up, we agreed that everyone
would send answers to the following questions:
• How do you count the number of researchers
who use your material each year? e.g., by individual, by daily visit,
by research trip?
• Do you count remote requests as researchers?
• When you report new manuscript / archival material added
during a year, do you report it by the amount accessioned or the amount processed
into your collection?
• Do you keep count of the number of photocopies, scans,
microfilms, prints made each year in your unit?
2) Committee members were also asked to contribute electronic copies of the
various forms used in their repositories, which will be posted in a directory.
3) Ken Crilly has learned that the Oral History American Music project at
Yale
( http://www.yale.edu/oham/) would like be considered one of Yale's special
collections and have a representative on our subcommittee.
