Special Collections Subcommittee
Minutes of our meeting July 1, 1999

Present:
David Walls, Toby Appel, Richard Boursy, Chris deVallet, Elizabeth Fairman, Diane Kaplan, Mary Kay, George Miles, Fred Musto, Martha Smalley, Chris Weideman

Topics:

ARL Special Collections Statistics, Copyright Summary, Special Collections Fair, Future Agenda Items

ARL Special Collections Statistics

A copy of the most recent ARL statistics was given to everyone to review. If subcommittee members find them useful, they will report back to the group at our next meeting. Some members thought the statistics might be informative if compared to those from previous years. David will ask Ann Okerson if the library has copies of statistics from the previous 3-5 years.

Copyright Summary

The copyright summary was reviewed and amended with the omission of the last sentence in paragraph 2A under "Publication: If Yale owns the copy only." This correction strengthens the statement that through simple ownership, Yale cannot deny the rights of researchers to publish or force researchers to credit a Yale special collection should they publish from a work. The subcommittee believes that the best way to disseminate the copyright summary to the Yale Library community is to display it on the Special Collections Website. We agreed that access to it should be limited to the Yale Library community.

Special Collections Fair

Due to the interest generated by last years Special Collections Fair, it was agreed that a second fair should be held this Fall. Various methods of promoting the fair were discussed and all felt that a greater effort should go toward informing students and faculty about the fair and the resources available to them for research. A direct mailing to graduate students and faculty and an announcement in the Graduate Studies Newsletter were suggested as ways of informing our audience. To further promote the use of special collections, we will also offer students the ability to sign up at the fair for tours of special collections units as well as bibliographic instruction sessions. A task force chaired by Chris Weideman and comprised of Diane Kaplan, Chris deVallet, Martha Smalley, and David Walls will work to plan and set up this years fair which is scheduled for October 7th from 1:00 to 5:30 pm at the Beinecke.

Future Agenda Items

The following topics will be explored during the upcoming academic year:

  • Uniform lending and use policies across special collections units
  • The design and maintenance of the Special Collections webpage
  • Bibliographic instruction aimed at Humanities graduate students

Our next meeting will be September 9, 1999 from 9:00 to 11:00 in the SML Lecture Hall.
