Special Collections Subcommittee Minutes

In attendance: Bridget Burke, Christine de Vallet, Elisabeth Fairman,
Diane Kaplan, Fred Musto, Martha Smalley, Richard Warren, Chris Weideman
1) We met for the first time this year at the British Art Center (the
Arts of the Book Collection room is no longer available for morning meetings).
We decided to meet at different special collection sites over the course of
the year, with the next meeting scheduled for Manuscripts and Archives on
December 9 beginning at 9:30. Chris Weideman will find a place for us to meet
at Sterling (possibly Room 79) and will give us a short tour of her facilities
after our discussions.
The meeting is scheduled to follow the symposium on digital imaging, organized
by Max Marmor. "Moving Images: University Libraries and Museums in the Digital
Marketplace" will take place in the Lecture Hall of the British Art Center
on November 21, 1-5 pm. The first session is tentatively entitled "Sharing
the wealth: the research university and the digital marketplace" and the second
is to cover "The digital marketplace: emerging models." Max hopes to have
representatives here from the major digitizing vendors (including Corbis,
Image Database, Bridgman Art Library, etc.).
2) Chris Weideman had two SCOPA announcements:
a) A special collections fair is planned for December 12,
2-4 pm in the SML Lecture Hall. It will be open to library staff and graduate
students and faculty are welcome to attend as well. We are to send Chris a
"mission statement" for our respective special collections, not to exceed
4-6 lines. The url for the collection's home page should be listed at the
end of the paragraph. The mission statements are due by November 15, and should
be sent to Chris by e-mail. Suggestions were made as to other special collections
who may want to participate and who are not represented on the CDC Subcommittee.
Chris will send invitations to the Franklin Papers and to Peabody, among others.
It was suggested that a computer be made available at the fair to allow internet
access to our home pages for demonstration purposes.
b) On January 23, 1998, there will be a program on the role
of special collections in research institutions. Abbey Smith, the Preservation
Programs Officer of the Council of Library and Information Resources, will
be speaking. Rich Szary and Scott Bennett will also participate.
3) We had a brief discussion about the "semi-rare
books" issue and its impact upon special collections [did we know if any
books eventually identified as "semi-rare" would be transferred permanently
to particular special collections; what are the issues in using the material
in supervised reading rooms?] The consensus was that at this time we didn't
need to get involved as a committee, but that if any individual had special
concerns they could bring them to Paul Stuehrenberg's attention.
4) Diane Kaplan wondered about the efficiency of using Select-L for
listing material she would like to offer to other libraries on campus. There
was general agreement that it was still the most sensible way to handle the
problem, unless we knew of a collection's specific interests and then we could
offer the material more directly.
5) We expressed our concern about the destruction of color-plate books
and other folio books in the stacks. David Walls has identified a number of
vandalized books, many with plates cut out or mutilated.
6) We adjourned the discussion and Elisabeth Fairman gave a quick
tour of the Irish painting exhibition, which she helped organize. It included
much "semi-rare" material from Sterling and Mudd stacks (as well as numerous
items from Beinecke and other U.S. rare book collections). Elisabeth took
the group into the work area of the rare book collection and showed some rare
objects that were handy, including a few maps, a piece of 18th century wallpaper,
and a number of artist books.
