SCOPE & DEFINITIONS:

Oversize books.

SCOPE: SML and books cataloged for school and departmental libraries by SML cataloging using LC classification and local NJ18 classification, i.e. call numbers in the MARC holdings record with field 852 1st indicator 0.

DEFINITION: Oversize books are those for which the height is 28 cm or more and/or the width is 20 cm or more. Determine the height and width from the number recorded in 300 ‡c, i.e. if the actual height is 27.5, it is recorded as 28 cm and the book is considered oversize. If the width is not recorded in 300 ‡c, determine oversize by measurement, i.e. if 300 ‡c 27 cm, and the width is 19.5 cm, do not consider oversize. The oversize notation uses one of the following, depending on the size of the volume:

• the last element of the call number, followed by a line break, followed by the stamp Oversize <as of July 23 2007, the + sign following the last element of the call number is no longer assigned>
• the word Folio over the call number <as of Jan. 1 2008, a full LC call number is assigned to all locations with Folio over the call number>

NOTE: Prior to the use of Voyager in June 2002, oversize + was entered before the last cutter number, and the "Oversize" stamp after the line break was not used. Computer conversion programs have shifted the position of the + to the end of the call number and inserted ‡m Oversize, so there will be a discrepancy between the oversize designation in the online catalog and the oversize designation on the item label for titles cataloged prior to June 2002. In July 2007, changes in binding charge schedules resulted in the decision to drop the + entirely.

Miniature books.

Volumes  measuring 10 cm or less are considered miniature books and should be referred to Beinecke Library.

APPLICATIONS:

The Oversize text is used in call numbers corresponding to the above physical description for either height or width for all locations. (Art Library dimensions are slightly different.)

MFHD FORMATTING EXAMPLES:

 

The word Folio is used in call numbers for Sterling Memorial Library stacks, most special collections, and all departmental libraries for items corresponding to these dimensions for either height or width. Art Library folio dimensions are slightly different.

Folio size publications are assigned the full LC call number, with Folio between the location stamp and the call number. In the MARC holdings record, the Folio text is entered in $k between $b and $h. Local numbers such as NJ18 that are assigned 852 first indicator 0 in order to index with LC call numbers should also have a corresponding full number. The guidelines for Folio do not apply to local call numbers that are assigned 852 first indicator 8 in order to index with non-LC call numbers, e.g. the Mathematics library local numbers or Old Yale numbers. (For Old Yale oversize, see the section below.)

For open serials and multiparts cataloged using the pre-2008 number*, continue to add volumes using the old number. For new serials and multiparts (open or complete at the time of cataloging), assign the full LC number.

Exceptions: Historical Texts [Reference], L&B, and  Microtext Collections do not use the designation Folio. All oversize volumes in these collections will use the a line break at the end of the call number followed by Oversize.

*Prior to 2008 folio sized publications were assigned a full LC call number for SML special collections and departmental libraries only. Folios held by SML stacks were not fully classified. Instead, the main class letter from the Library of Congress classification schedule was used under the word Folio, followed by consecutive numbers derived from the shelf list. <Note that Folio is now used for all multi-part monographs (formerly called "book contins"), whether or not they are complete at the time of cataloging. For the memo updating the Catalog Dept. Manual of 1978, click here.>. Note that the date of publication  is not used in conjunction with special Folio call numbers.

Serials: Changes from regular to oversize and vice versa

Record the regular and oversize volumes of a serial in separate MFHDs if the serial was initially cataloged as regular size and later changes to oversize. If the serial was initially cataloged as oversize and later changes to regular size, generally use a single MFHD to record volume holdings and class all the regular size volumes as oversize; do not create a separate MFHD for the regular size volumes. (If there is clear evidence from the publisher that all volumes issued from a certain point will be regular size, a separate MFHD with a regular size class number may be created, but when in doubt, use a single oversize MFHD)

In the following example, the serial changed from regular size to oversize with v.25 (1979:May).

If some issues of a serial volume are oversize and other issues of the same volume are regular size, record all issues of the volume in the oversize MFHD. In the example above, v.25(1979:May) is regular size but should be shelved with the other oversize issues of v.25.

In the past, it was sometimes the practice to reclass all regular size to oversize to keep all volumes together in the same area of the stacks. This no longer represents current policy.

 

Historical Note: Former Oversize Notations

In the outmoded "shelf book" classes, quarto size (over 27 cm. and through 38 cm.) was designated by a zero before the Yale book number, e.g.:

Folio size was designated by a doubled zero before the Yale book number or by a doubled class letter, e.g.:

Volumes and shelf cards for the various size groups thus denoted were shelved and filed in separate sequences in the stacks and in the shelf list. Until November 1959, the folio designation for all classes other than those in the old shelf books was a doubled class letter, e.g.:

The doubled class letters were interfiled in the shelf list with the single letters, e.g.: NNc92, NC92, NNc92.
