Policy: The Head of the Catalog Department does not need to approve MARS processing for new one-time record sets below 3,000 records. We can send such files for processing automatically. She does need to be consulted on any one-time record sets above 3,000 records and on any ongoing record sets. We can adjust this number later if need be. Default Procedures (ILTS/ITS loads bib records): The Digital Resources Catalog Librarian retrieves the files and puts them on the Clark server. If the records don't need MARS processing, she notifies ILTS. If the records do need MARS processing, she notifies the Authority Control Librarian. She supplies the following information: vendor name, directory and file names, record counts, and an indication of whether the files are new or updated records. The Authority Control Librarian sends the files to the Backstage Library Works server and notifies MARS. When the records have been processed, MARS notifies Yale. The ITS Library Group picks up the records. The Authority Control Librarian picks up the reports. ILTS coordinates the record loading and notifies the Digital Resources Catalog Librarian and the Authority Control Librarian when the loads are completed. The Digital Resources Catalog Librarian handles delete files manually. Alternative Procedures (Cataloging loads bib records manually using macro): The Digital Resources Catalog Librarian retrieves the files and puts them on the Clark server. If the records don't need MARS processing, she notifies ILTS or loads them using a macro. If the records do need MARS processing, she notifies the Authority Control Librarian. She supplies the following information: vendor name, directory and file names, record counts, and an indication of whether the files are new or updated records. The Authority Control Librarian sends the files to the Backstage Library Works server and notifies MARS. When the records have been processed, MARS notifies Yale. The ITS Library Group picks up the authority records. The Digital Resources Catalog Librarian picks up the bib records. The Authority Control Librarian picks up the reports. ILTS loads the authority records and notifies the Authority Control Librarian when the loads are completed. The Digital Resources Catalog Librarian loads the bib records using a macro and notifies the Authority Control Librarian when the loads are completed.
