MARS Implementation : Results of QA of Voyager Test Records

Conducted Jan-Feb 2003 by the Authority Control Advisory Committee and members of the East Asia Collection, Hebraica Team, and Near East Collection. Of the 203 records sent for processing, about half contained non-roman fields (Hebraica, Arabic, and CJK). Record numbers given below correspond to the DevOrbis bib number of the original record as sent to MARS. Please note: not all diacritics are represented correctly in the examples provided!

The problem affected Yale records only; related to custom processing we requested. MARS has corrected its programming and is sending replacement records for files already loaded and replacement files for files not yet loaded.

We’ve corrected the error and will produce a revised test file to demonstrate that the correction has been made. I will identify additional issues resulting from the processing error with the phrase “MARC Update absence”.

Question for MARS: Why? Both headings are represented by authority records.

MARS: Subfield $d in personal names headings undergoes a special normalization routine in which only the first date is kept for matching. A heading in which the subfield $d contains two dates, such as the Pierre Corneille example, will not normalize correctly if the date subfield is not coded $d (the bib heading and the authority heading normalize to different forms due to the incorrect $c subfield code). In a heading with only a single date, such as the Francesco Clemente heading, the headings normalize the same so the bib and authority headings link correctly.

Question for MARS: Is this explained by the fact that only the first date in |d is used when attempting to match headings, thus can catch errors in second date but not first?

MARS: That is correct. MARS requires that the first date in the bib heading match the first date in the authority record before a match is recognized. Due to the explosive growth in the NAF file in recent years, MARS will switch to requiring matches for all dates by the end of this year. We will, of course, be adding a much larger number of headings with incorrect dates, as encountered and recognized, to the MARS Auxiliary Authority File (our internal supplement to the NAF) so that they will be correctly flipped.

MARS: The entire bib heading must match an authority heading before MARS will allow a tag flip. In the first case above, the bib heading fully match a heading in LC authority record “no 99043399”. In the second case, there was no authority record that contained the entire bib heading, so the tag flip was not allowed.

MARS: That is correct. We hope to add some advanced logic that would allow MARS to recognize an incorrectly coded date or place, but we don’t have an implementation date at this time.

Question for MARS: why didn't match to authorized form? Authorized form is incorrect but would still expect authority record form to take precedence rather than doing automated flip.

MARS: The x11 conversion routines are unable to recognize incorrectly coded subfields (see issue above). The x11 subfield re-ordering takes place during MARC Update. Therefore, the subfields were rearranged before the heading was submitted for matching against the NAF. Due to subfield rearranging based on the incorrect subfield codes, the heading failed to match the established heading.

Note: I reported the incorrect subfield codes in the NAF authority record to CPSO. The record should be corrected today and redistributed shortly.

Question for MARS: No change because matches two authority records?

MARS: That is correct. Since a split on a main entry is not allowed, MARS is not allowed to make a heading flip when a main entry (in this case a 100/240 $a$t-type combined heading) matches multiple authority records.

[Follow-up question revealed that splits are not allowed for any name or name title headings. The heading is simply ignored. We can order a report for these if desired].

Note: MARS relies on punctuation correction routines that work for some uniform titles but not all because AACR2 punctuation rules vary depending on type of heading. Given that no single correction routine works for both music and non-music uniform titles, we would prefer a default approach that only corrects punctuation if the heading matches to authority record and otherwise leaves punctuation as is. This would mean that some headings would not get corrected but we'd prefer that to the corruption of good headings.

Question for MARS: Is this still not an option?

MARS: MARS is unable to differentiate a heading in which a partial match should be authorized and a partial match in which it should not. We will be adding a routine that will retain the existing punctuation prior to $n and $p, but no implementation date has been set yet.

Question for MARS: Why?

MARS: This result is due to the same x00 $d special normalization routine described in the ‘Pierre Corneille’ case above. Subfield $d is normalized so that only the first date is retained during matching. This allows many incorrect death dates to be modified to the established form. In the case above, the absence of the $t subfield delimiter resulted in everything after “$d1756” to be ignored during matching. The normalized form of the heading (“Mozart Wolfgang Amadeus 1756”) then matched the name authority record (instead of a name/title authority record).

This actually happened to two headings in the same record (the other heading was “700 12 |a Mozart, Wolfgang Amadeus, |d 1756-1791. |t An Chloe” in which the character preceding the subfield code ‘t’ was actually a vertical bar -- not a subfield delimiter) . Since both of these normalized headings linked to the name authority record (not name/title authority records), they flipped to the name form and the duplicate heading was removed as both headings were then identical.

Question for MARS: rather than following numeric tag order, does processing make order of 8XX fields match order of 4xx fields (so as to follow LCRI 21.29)?

MARS: MARS sorts fields only on the first digit of the tag. This is due to the very different ways various libraries desire for field order (particularly in 5xx and 6xx areas). Therefore, location of added fields is somewhat random.

Question for MARS: why?

MARS: This is a result of a weakness in the process that flips the tag of series headings based on cross references in authority records. At a certain point when the indicators should be updated, the process doesn’t realize the tag has changed and requires additional indicator updates. We will schedule an enhancement to take of this siituation.

MARS: Following all  processing, when series headings are collapsed back into a 440 field (from a 490/830 pair), if there has been no flip based on an authority record, the 440 is being created using the original form of the heading (i.e., the form in the temporary 490 field). The routines that correct the punctuation do not correct 490 fields, so the correction made in the temporary 830 field is being lost. We plan on correcting this situation in the near term.

MARS: Conversion of $x to $v coding is currently only being done for Yale if an authority record for the heading, with $v coding, has been created. Consistent conversion of $x to $v coding is available as option #2 in MARS profile question 3:4 (which was not selected on the most recent Yale profiles).

[note: decision was made to stick with current profile option, which will prevent some incorrect $x on older copy from being changed to $v but will have the advantage of protecting correctly coded subdivisions on newer records and keeping them from being changed].

Question for MARS: Reported this problem to MARS in April 2002. Not fixable?

MARS: Subdivision correction takes place before matching headings against the NAF. In most cases, this arrangement allows many more headings to match authority forms and be updated. In this case, however, flipping “Liturgy and ritual” to “Liturgy” prevents the heading from matching the appropriate cross reference. There is one way to provide for these cases while still allowing the “Liturgy and ritual” to “Liturgy” correction which is desirable in most cases. I should have it implemented by the end of next month.

Question for MARS: Profile for blank second indicator says "match to LC or delete." Why couldn't correct? Successfully corrected 650 |z for this change (see below).

MARS: MARS updated the first heading during the Authority Cleanup phase of processing (corrections to individual subdivisions), as there is no usable 4xx cross reference in the NAF. Authority Cleanup has an entire table of geographic place names that are not valid as subject headings (MARS is unable to read parse free text in note fields). Flips based on these tables are only allowed for certain combinations of tags and indicators. The value of ‘blank’ in the second indicator prevented the update for this $a, thus allowing the Yale field removal to remove the heading based on that indicator value of ‘blank’.
