MARS at Backstage : Results of QA of Voyager Test Records

Test conducted in spring 2005 in response to the transfer of the MARS authorities service from OCLC to Backstage Library Works. The Authority Control Advisory Committee and catalogers in the East Asia Library and the Music Library participated.105 records were sent for processing; each record contained anywhere from 1-20 headings doctored specifically for the test; about one fifth of the records contained vernacular Hebrew and CJK fields. Record numbers given below correspond to the bib number of the original record as sent from TOrbis to MARS. Please note: diacritics, special characters, and vernacular characters are not necessarily represented correctly below!

MARS response: This is a normalization issue. The first comma in the a-subfield of a personal name is left in, to differentiate forenames from surnames, e.g. “John Paul” from “John, Paul”. (The order is indicated by the first indicator as well, although this can't always be relied upon.) All punctuation is removed from other heading types, so since this came in as a 110, the comma was removed and the headings did not match. An easy fix is not coming to mind.

MARS response: This is a “do no harm” case. We don’t correct a filing indicator that has been set to a digit other than zero. The assumption is that the article was deliberately set, and we don’t want to undo it, since our article/language table is not complete.

NEW: MARS response: On page 2:6, the indicator update table tells us that the 1st indicator for 630 is changed from blank to 0. If it is any number other than 0 or blank then the system looks at the language code and the article table and corrects the indicator in accordance to the article table. If it does not find an article but has a number greater than 0 it ignores and reports as in report #13, Suspicious Filing Indicators.

MARS response: We copy the indicators over from the Romanized field to the vernacular field. This might make sense for some types of indicators, but not for filing indicators. Suggested fix, either turn this off for filing indicators, or turn it off altogether – probably does more harm than good. Note: This 880 program is run for very few libraries.

NEW: MARS update: This has been fixed. The filing indicator in the vernacular field is now ignored.


5. Why did MARS change the 2nd indicator from 4 to 0 in these 880 fields? There were many of these changes...

The X30 flips to an X00, based on the authority record. MARS response: The heading didn’t match, because “B” does not match a flat sign. We could put something into bib validation, to change “b” to flat in musical key subfields.

Yale response: This would make us nervous; "B" is a legitmate key, so we wouldn't want all instances of "B" changed to flat signs.

MARS response: Our normalizer does two different normalizations for each heading. One, the standard scheme, removes most diacritics. The other, the so-called “CJK” scheme, leaves certain diacritics in, because they may make a big difference in CJK records. If the two normalized versions differ, we keep them both on the headings master. Then, at match time, we determine which one to match against based on the incoming bib record – if it is has language codes “chi”, “jap” or “kor”, if it contains certain 066 codes, OR if it contains 880 fields, the headings are matched against the CJK normalized headings; otherwise the headings are matched against the standard forms. In these examples, the bib records were identified as “CJK” using the above criteria (even though two of them were Hebrew , they contained 880 fields) and so were matched against the forms with the diacritics left in. They didn’t match. A fix would be to specifically exclude records with language codes such as “heb” or “ara” from consideration as “CJK”.

We normalize the LC Master file two different ways, CJK and normal.  If the bib has 880 tags, the headings are matched against the CJK normalized master LC file.  As a result, the LC heading, Auth hdg: 110 20 |a Muze'on Yisra'el (Jerusalem), will retain its diacritics and will not match with the bib heading,  Bib hdg: 710 2_ |6 880-08 |a Muzeon Yisrael (Jerusalem), because it has no diacritics. 

Yale note: the special characters retained in CJK normalization are: alif, ayn, breve, circumflex, hyphen, macron, umlaut.

MARS response: Another bug in the punctuation fixer. We are deliberately removing commas before n-subfields, so we’ll have to be careful about fixing this one.

New question: Why is it being done inconsistently? Sometimes it is removed and sometimes not. Example, in that same record, of a record in which the comma was retained:

NEW: MARS response: The only difference between the two records are, the one that removed punctuation in error has two $n and the one that retained the commas, there is only one $n. There is a full authority record for “no. 9”, but for nos. 5 and 10 there are only authority matches through the m subfield, which of course does not end in a comma. This should be fixable! Enhancement #16 should address this.


16. New Question: Why did MARS remove the punctuation after |a (and not add punctuation to the 1st |p)?

MARS response: This is the same issue, in part, as the CJK-Hebrew problem above in the test. Hyphens are left in c-subfields in the CJK normalization – converted to a space otherwise. So Dame Edith matched because she didn’t come out of a “CJK” record, but Sholem and Toshio came from Hebrew and Japanese respectively. Note: d-subfields are normalized the same way in both modes, so these would have matched if they had been subfielded correctly. The fix might be to skip the CJK normalization for Hebrew records with 880’s, but that won’t fix the problem with the Japanese record.

MARS response: Bib validation does not attempt to add a t after X00. It does examine $t and address indicator and article of the subfield. Name title matching will attempt a match if $t is present or if 240 tag is present then system will temporarily combine the two tags.

Yale note: It turns out that OCLC instituted two changes after we tested in 2003: they stopped retaining only the first date in the $d when doing matching (the reason why the hdg matched to only the personal name last time and the $t got deleted) and they started retaining subfield delimiters (though not subfield codes) during matching (this is why the system could not find a match this time).

MARS response: This is the same issue that we’ve encountered above – Hebrew records with 880 fields are subjected to the CJK normalization, which leaves hyphens in. That’s why these headings, which were missing the hyphens, didn’t match.


21. How did MARS manage correct the 100 name heading when it is not an xref form?
The bad change to the 240 title is explained by the fact that the original hdg "Ethics" is an xref in the auth for "Nicomachean ethics. |l English" but shouldn't there be something in the program that disallows the creation of a hdg with two language subfields?

MARS response: The bib record contained six 440 fields. All of them were converted to 490-830’s but then when it came time to convert them back to 440’s, two of the 830’s were retained that should have gone away. I assume that this is a bug relating to the large number of 440’s – the program may have lost track somehow. It will need further investigation.

New question: Find out anything more?

NEW: MARS response: No we have not had a chance to look at this. This is a bug that we will have to duplicate in order to troubleshoot. I had overlooked this when creating bugs for our enhancement list. It is now on there as Log # 25.


23. Why did MARS change the order of the 8XX fields?

MARS response: This is happening in bib validation, when it looks for existing 830’s to match up with 490’s. It moves them up in front of other 8XX fields, like the 880’s in this case. Usually it doesn’t show up as a problem, because 830’s tend to appear before the 880’s in most records. But when they don’t, it messes up the order.

Yale note: Not sure whether the order of the 8xx matters.


24. Why was MARS unable to correct this series from 490/830 to 440?

MARS response: We don’t override the customer’s tracing decisions. If we had generated this 830 from a 440 or 490-0, we would have reverted it back, but it came in as a 490-830 pair. We generally try to respect the library’s decisions in cases like this, but we could make it an option to fix them by untracing them.

New question: But a series coded 440 in a bib record, rather than 8xx, will be changed to untraced if the authority record has a 645 n ?

NEW: MARS response: Question: It seems as if we are not being consistent here. If we bother to change a 440 match with an untraced heading and change it to a 490 0, then why don't we take a 490 1 with a untraced heading and change it to 490 0 and remove the 8xx? Answer: The direction is predominantly one way. The main thrust of the programs is to expand the 440's to 490-830's where possible. We will do that, and then undo it if the authority record indicates that the series is untraced. But, if the customer has already done it, we won't undo it. We don't offer a “collapse” option that builds 440 fields from 490-830 pairs. This was a philosophical decision made by OCLC when the program was written, to assume that 490-830 was the preferred option.


26. Why was MARS unable to correct the form of the |z ?

MARS response: Doesn’t exist in authority tables (z6xxdata) Backstage will add it to the table. MARS is not currently providing LC subdivisions for 155 and 18X authority records. Pp. 3:26 of the planning guide. Even if we were, the authority reference is a 151 $a If LC had this as a legitimate LC record it would be a 181 $z Even so, at this time our software does not look at 18X it relies on authority tables.

Did MARS consider the hdg with |v to be a match to the name-title auth record and think it needed to dedupe?

MARS response: The normalizer does not keep subfield codes, just the delimiters. So, the heading with the v-subfield flipped to the one with the t-subfield. At that point the records contained two identical headings; the field deduper removed one. The cure for this would be to include the subfield codes in the normalized string – that would probably hurt more than help, generally, because all of the ability to fix improper subfields through matching would be lost.

31. Our cataloger inadvertantly added a |6 to the middle of a 500 field (when making a note to herself). MARS thought the |6 in the 500 field must be "real" and flipped the position of the |a and |6 . But why did the word "and" become "06d"? Also, this seems to have triggered the addition of an 880 for no apparent reason; the new 880 contains the same text as the first 880 in the record. Why exactly did this happen?
