NACO Coordinating Committee Minutes

Date: 7 February 2005

Present: Steven Arakawa, Sarah Elman, Fanny Hsieh, Maria Hunenko, Cécile Mandour, Rick Sarcia, Manon Théroux (chair and recorder).

Guest: Rowena Griem.

Absent: Mickey Koth.

1. NACO Names Training

NACO Names training for Tom Bolze (Rare Book Team), Chris Smith (Rare Book Team), and Fereshteh Molavi (Near Eastern Collection) was completed in December. Their names have been added to the YUL-NACO e-list and their status updated on the committee's NACO Training Chart. Penny Welbourne (Rare Book Team) also attended the class as refresher training. Unfortunately, Fereshteh will not be able to contribute any NACO authority records because there is currently no NACO Funnel Project (or other review system) in place for Persian-language catalogers only Arabic-language catalogers.

2. CPSO Proposal for Government-Designated Parks and Forests

The Yale response to the recent CPSO proposal on headings for government-designated parks and forests was submitted in late December. We did not support the proposal. No decision has yet been issued by CPSO; presumably the various responses submitted by PCC institutions are still being evaluated.

3. RLIN21 Status Report

February 25, 2005, will be the last day for bibliographic record input using RLIN Terminal for Windows. However, we will continue to use Terminal for Windows for NACO authority record input. The NACO-enabled RLIN21 client should be released for testing sometime in February and implemented for production work sometime in March. At the RLG Technical Services Forum at ALA Midwinter, Karen Smith-Yoshimura indicated that we might not have a full month for testing. We cannot schedule training until we have a better idea of the timeline.

The RLG report made at the ALA 2005 Midwinter Meeting of the Authority Control Interest Group has been posted. The report summarizes current plans for the RLIN21 authority files. One item of interest: a "heading word" index is being planned; separate corporate, title, and subject word searches have long been available but a universal heading word search has not previously been offered.

4. LC Classification Numbers for Literary Authors

On Feb. 1, the SML Catalog Dept. implemented new procedures for cataloging belletristic works. Under the new workflow, LC copy with an 050 00 call number in the bibliographic record will be accepted (with the addition of a trailing X) rather than shelflisted against Orbis. For literary authors without LC copy, the new workflow calls for constructing the call number based on (in order of preference):

Rowena presented her suggestion that LC classification numbers for literary authors be recorded in the Orbis authority record for the author (if one exists). The practice would make assigning a call number easier the next time an item by that author is received. The group discussed various options and tentatively decided that:

The group decided against also recording the old local LC classification number.

Manon will discuss the group's tentative decision with Joan. If approved, the documentation for belletristic cataloging workflow would need some slight revision to indicate that either an 053 or an 090 in an authority record can serve as the basis for the call number. The policy for adding the 090s would also have to be documented on the Authority Control at Yale website.

The option of submitting an 053 literary author request form to LC was also discussed Given the high volume of literary works processed in the Library it is unlikely that we will use this option with great frequency but it should be kept in mind. Manon will verify whether the form is to be used for any literary author or only authors not yet present in the LC catalog.
