SACO Workflow at Yale
If you would like to make a SACO proposal to the Library of Congress, please observe the following workflow:
- Add the proposed subject heading to the bibliographic record.
- Code it as an authorized LC heading (2nd indicator 0).
- Export the bibliographic record to MARS and the appropriate utilities using Export Q, as usual.
- Use the SACO web proposal form available on the LC website to send your proposal directly to the Library of Congress. This is the fastest method for getting your proposal approved. Don't forget to review the Guidelines provided on the web proposal form.
- Alternatively, you may fill-out and submit a Yale version of the web proposal form to the SACO Coordinating Committee, who will review your proposal for you. This step is recommended for anyone new to making SACO proposals. Afterwards, you may copy and paste the fields into the official web form and submit to LC.
- Make a copy of any proposal that you submit. Keep it until the proposal has been approved.
- Count the heading on your authorities statistics sheet as "New Subject".
- Wait... you should eventually receive a response from LC or your reviewer. However, sometimes LC forgets to notify us so you may want to search LCDB or the LC web authority file periodically to look for your proposal.
If your SACO proposal is approved:
- Wait until the authority record appears in LCDB
- Import the authority record into Orbis if desired (this step is optional).
- Re-export the bibliographic record to MARS using Export Q [This step is important! We will only get the authority record from MARS if we send the record through processing a second time. If we simply rely on importing the record from LCDB ourselves, OCLC will not know that we have it and will not know to send us an updated authority record in the future].
- MARS will send us the authority record after the bibliographic record has been processed.
- Notify the person responsible for maintaining the list of SACO Headings Contributed by Yale of your approved heading. It will be added to the list.
If your SACO proposal is approved but in a different form:
- Wait until the authority record appears in LCDB
- Import the authority record into Orbis if desired (this step is optional).
- Revise the subject heading in the bibliographic record.
- Re-export the bibliographic record to RLIN and MARS using Export Q. [This step is important! We will only get the authority record from MARS if we send the record through processing a second time. If we simply rely on importing the record from LCDB ourselves, MARS will not know that we have it and will not know to send us an updated authority record in the future].
- MARS will send us the authority record after the bibliographic record has been processed.
- Notify the person responsible for maintaining the list of SACO Headings Contributed by Yale of your approved heading. It will be added to the list.
If your SACO proposal is rejected:
- Remove the rejected subject heading from the bibliographic record.
- Add any other subject headings needed to compensate for the loss of your heading.
- Re-export the bibliographic record to RLIN and MARS using Export Q.
- Don't bother revising your authorities statistics sheet.
