All single-sheet maps and map series and sets that are transferred to the Library Shelving Facility must have at least a minimal record in the Library's online catalog.

In summary, for a minimal-level record, the following fields are required:

Leader: Type of Record: e (cartographic material)
Bibliographic level: m (monograph/item)
Encoding level: Assign the value 7 (minimal level)
008: Publication status
008: Date 1
008: Date 2 (when applicable)
008: Place of publication
008: Language
Variable:
020: ISBN (when present)
034: Cartographic mathematical data
1xx: Main entry (personal or corporate, if applicable)
245: Exact transcription of title proper
246: Varying form of title, as appropriate
250: Edition statement
255: Cartographic mathematical data
260: First named place of publication, first named publisher, date of publication; if there are missing elements, accept n.p., s.l., s.n., or n.d. as appropriate
300: Extent of item
490/8xx: Series statement
651: Geographic subject heading (at least one)
The location code for all map series or sets will be either smlmap (for series or sets housed in Sterling Memorial Library) or lsfmapl (for series or sets housed in the off-site library shelving facility). This code is entered in the b of the 852 of the MFHD.

Enter the call number as given on the card or as assigned; if part of a series (identifiable by "Series" preceeding call number), enter k Series before call number. The call number is entered in h and i.

Item records must have the appropriate information in the following field:
- Item type is marked by one of the three codes: lsfc, lsfi, or lsfr.
