RE: USE OF INITIALS IN THE COPY HOLDINGS STATEMENT NOTES

DATE: DEC. 5, 1990

Based upon our discussion of Tuesday, we propose that Team Leaders, at their discretion, have staff identify their work on Orbis through the use of the Copy Holdings Statement NOTES field with the Orbis Catalog Identification Code and the staff member's initials. We recommend the following:

  1. All new staff should routinely supply this information.
  2. All staff engaged in learning a new activity on Orbis should routinely supply this information
  3. When adding to the Copy Holdings Record or making significant revisions to a bibliographic record, staff should routinely supply this information. This is particularly true when using a record originally created by another cataloging unit.
  4. If further corrections are made to a record by a different

team and/or staff member, replace the original initials with those of the team/staff member initiating the corrections.

We do want to emphasize that even though some problem situations may have to be resolved by a specific team and team member, the use of initials should not be a excuse for not correcting errors that you may encounter in cataloging or data base maintenance activities. Use the following form(s) in the Copy Holdings Statment NOTES field:

001 1L CN |a sml |b [call number]

NOTES sml,his/rek

001 1L CN |a ccl |b [call number]

NOTES PROVISIONAL! sml,hum/sra
