RE: SERIAL STANDING ORDER: PERMANENT PROVISIONAL RECORDS

DATE: APRIL 7, 1994

The creation of permanent provisional records for works in unanalyzed series is permitted in the Orbis data base. These records allow library users to access items, which will never be fully cataloged, by author, title and series. The encoding level of the bibliographic record is 7 and the records are not generated to tape. Up until now the status code on the Copy Holdings Record has been given as "a". Effective immediately, the status code should be given as "h". The reason for this (even though we are not creating a catalog record) is that the call number does not index and SML Circulation Dept. routinely returns these items as circulating uncat items. By using the status code h, we should be able to avoid additional handling time and the items can be directly returned to the stacks.
