Warnings

Do not use any CLARR buttons but the two we are showing you how to use:
the import button

  the cancel button

These are the only ones you need to use to import records into Orbis. These are the only buttons that have been tested and approved for use by production staff. If you are interested in expirimenting with the CLARR buttons talk to your expert user and one of the following: Xin Li, Matthew Beacom, Jane Gillis, and Steven Arakawa.

Expert users are also authorized to use the systems options button

CLARR Basics

1.Open RLIN for Windows, OrbEdit (HostExplorer), and CLARR (open CLARR after HostExplorer)

2.In RLIN: Find record and use the PASS command

3.In OrbEdit (HostExplorer): Click on OrbEdit (to make window active)

4.In CLARR: (always run CLARR with the OrbEdit window visible behind CLARR)

Using CLARR: Step by Step

Always work in CLARR with OrbEdit showing so you can see what CLARR is doing to Orbis!

  1. Make OrbEdit the active window

  2. Make CLARR the active window

Connect CLARR to OrbEdit so they'll work together

  1. Click on the OrbEdit window (pretty much anywhere will do)

  2. Click the Import button  in CLARR

Use the "records to import" dialog box to move records from CLARR to Orbis

  1. Click on the title of the record you want to import now.

  2. If it is a new record in Orbis, click on the new botton in the dialog box.

  3. Click on the OrbEdit session to make it the active window once you have imported the record from CLARR to Orbis.
    (CLARR will continue to be visible, but it will be "grayed out" to show that it is not the active window.)

  4. If you don't deliberately make OrbEdit the active window, CLARR will continue to be the active window and your next command will cause CLARR to respond instead of OrbEdit. If you should hit the enter key without making OrbEdit the active window, CLARR will move the next record in the CLARR list into Orbis. The record you just imported will be lost.

  5. Note that CLARR will automatically select the next record in the list once you have imported one  record in the CLARR list into OrbEdit. 

Complete the record in Orbis as needed: this is just Orbis as usual (well, mostly)

  1. Edit problem fields brought in by the CLARR import process
    (Tag errors or indicator errors may happen. What you do depends on what errors Orbis reports. More on that shortly.)

  2. Add whatever is needed to the bibliographic record

  3. Move to the holdings record and edit it as needed

  4. Return to Clarr for the next record

  5. Note that CLARR will automatically select the next record in the list once you have imported one to OrbEdit. 

Close CLARR

  1. If you have imported all the records in CLARR, click on the delete the file button. This will erase all the records in CLARR.

  2. If you have only imported some of the records in CLARR, click on the delete records button and follow instructions
    Highlight the records you want to delete
    Click the "delete highlighted records" button
    Click the "cancel" button to end the delete process

  3. Click on the "close window" button to close the records to import dialog box

  4. Click on the "cancel" button   in the CLARR window

Some RLIN Examples for using CLARR

1. No 050 in bib record; LC classif. call no. in RLIN CALL.

2. 050 _4 in bib record; LC classif. call no. in RLIN CALL. (clarr copies to bib record; result is a duplicate 050 _4 field which needs to be deleted.)

3. No 050 _4 in bib record; non LC classif. call no. in RLIN CALL. (clarr copies to 050 _4 of bib. record; needs to be recognized as non-LC and deleted.) Also would be interesting to see how the LDA is translated by CLARR. Note that in this case there is another library with an LC call number in LCAL in the cluster, but you need to use this one for demonstration purposes.

Also, compare with the NYUG record in the same cluster with MHO; explain that MHO is not copied and why the NJPG record must be selected instead.

7. Acquisition records (e.g. PUVIL, CASALINI) or National Library/UK, etc. Some will have 9xx fields not listed in the default Clarr options.

Troubleshooting CLARR

CLARR may fail to work as expected from time to time. The following are known problems.

If you get one of the message like, "can't find handles", try the following in the order below.

The User's guide to accompany CLARR, the cataloger's toolkit is on the WWW, but it isn't as immediately helpful as one would like.
