Starting & Using CLARR

A few things to know about CLARR

1. Start CLARR when you are ready to overlay the records you have exported from the utility. You don't need to start CLARR before you can pass or export records from RLIN or OCLC. However, since repeatedly connecting and disconnecting CLARR is not recommended, you may want to start CLARR early in the day and leave the program minimized on the Taskbar until you need to use it.

2. Start OrbEdit (the Host Explorer version) before you start CLARR. (You will generally have connection problems if you do not follow the correct sequence). If you forget and start CLARR first, see the TROUBLESHOOTING TIP under 3. below.

3. CLARR will not work with the McGill OrbEdit, so make sure you select the correct icon.

4. CLARR is not fully windows compliant and will not act quite like other windows-compliant programs--

Starting and connecting CLARR    CLARR icon

1. If OrbEdit (Hostexplorer version) is not started, start the program.

 2.   Start the CLARR program. Click on the NT Start button, locate the icon (a red jacknife) and click on the icon to launch the program. The multicolored toolkit window will appear after the program loads. (It is a small window and cannot be re-sized in the current version.)

TIP: If you need to get the Toolkit window off the screen, click once on the MINIMIZE button. (The first of 3 buttons at the upper right of the Toolkit window). If you need to restore the Toolkit window, click once on the Cataloger's toolkit label on the taskbar at the bottom of the screen.

For now there are 2 buttons on the Toolkit window that you need to know about.

IMPORT FILE (Button is above and to the right of the CONNECT; a yellow arrow pointing down to "N")

EXIT. (Red on White, line through a tilted oval. Click on this button to turn off the software. You should only have to use it at the end of the workday)

3. Connect CLARR to OrbEdit/Hostexplorer. In the Toolkit window.

(Step 1.) Click once anywhere in the OrbEdit/Hostexplorer window (however, do not click anywhere on the toolbar or the status bar). To verify that the connection has taken place,

(Step 2.) Click on the IMPORT FILE button to bring up the IMPORT FILE window.

NOTE: If you are running more than one Hostexplorer session (e.g. you have launched both an OrbEdit and an OrbSrch session), a dialog box will open asking you to select a session. Select the OrbEdit (generally Session A) session.

If the import file already has records, the import file window will open and the records will be listed in brief form in the window.

If the import file has been cleared, you get a LOAD EXPORT RECORDS dialog box asking you whether you want to load a different file. Click NO. If you have passed records from RLIN and the file is empty, get in touch with your expert user.

If you don't need to use the IMPORT FILE at this time, close it by clicking on its CLOSE WINDOW button. Minimize the Toolkit window if that is your preference, but do not click the exit button, which will disconnect the program.

TROUBLESHOOTING TIP. If you get a "CAN'T FIND THE HANDLES" message, first make sure you are connected by clicking in the Orbis window and then clicking again on the import file button. If that doesn't work, try disconnecting (see last section) and then re-starting CLARR. If that doesn't work, disconnect CLARR and logoff OrbEdit, then re-start OrbEdit and then CLARR. If that doesn't work, shut down your programs and re-start the NT session. Note that if you start CLARR before starting Hostexplorer, you will most likely get a CAN'T FIND THE HANDLES message when you try to connect.
CAUTION. CLARR will prevent the Online Shelflist (and other Visual Basic programs) from functioning unless you have selected Run in Separate Memory Space in the CLARR profile. (To check, right-click on the CLARR icon, click on PROPERTIES, select the SHORTCUT tab, and make sure the Run in Separate Memory Space box (beneath Target) is checked.) (Or ask your expert user.)

Copying new records into Orbis from the CLARR IMPORT FILE

Use this technique if there is no in-process record to overlay in Orbis. Otherwise, skip to the next section.

1. If the Cataloger's Toolkit window is not on display over the OrbEdit window, display it by clicking on the Cataloger's toolkit label on the Taskbar and open the RECORDS TO IMPORT FILE by clicking on the IMPORT FILE button. (The yellow arrow pointing down to N) A list of records you have downloaded from the utlity should display in the RECORD TO IMPORT FILE window.

2. From the list of brief records in the RECORDS TO IMPORT window, select the record you will use to overlay by clicking on it once. (It should then be highlighted in blue)

3. Click on the NEW button below the list. A new record without an Orbis ID number will appear in the Orbis window.

Overlaying Orbis in-process records from the CLARR IMPORT FILE

1. If the Cataloger's Toolkit window is not on display over the OrbEdit window, display it by clicking on the Cataloger's toolkit label on the Taskbar and open the RECORDS TO IMPORT FILE by clicking on the IMPORT FILE button. (The yellow arrow pointing down to N) A list of records you have downloaded from the utlity should display in the RECORD TO IMPORT FILE window.

2. On OrbEdit/Hostexplorer, retrieve the in-process record you intend to have overlaid. Make sure the bib record is displaying. (If the Orbis in-process record is in a different format--e.g. the in-process record is a monograph, but the record to be overlaid is a serial--CLARR will make the format change automatically as part of the overlay process.

3. From the list of brief records in the RECORDS TO IMPORT window, select the record you will use to overlay by clicking on it once. (It should then be highlighted in blue)

4. Click on the OVERLAY button below the list.

Editing CLARR'd records in Orbis

WARNING! After the record overlays or is newly created in Orbis by using CLARR, click once in the OrbEdit window (this is VERY important!) -- the title bar should change color -- and then (and only then) press ENTER to save the overlay in Orbis.

NOTE: If you press ENTER before the OrbEdit window has been selected, CLARR will overlay the next record listed in the RECORDS TO IMPORT window on top of the Orbis record you have just overlaid. If you do this by mistake, you can re-overlay the correct record if you have not yet deleted it from the import file.
Special instructions for acquistions staff

These instructions should only be used by staff who are doing acquistions work. Cataloging staff should use instructions at: Special instructions for Catalogers

CALL NUMBERS

How one responds to the call numbers brought into Orbis by CLARR depends mainly on whether one is doing acquisitions work or cataloging work.

090 field from RLIN CALL

CLARR copies the call number in the RLIN HOL record's CALL field into the Orbis variable field 090. No error message displays.

950 field from RLIN LCAL

CLARR copies the call number in the RLIN HOL record's LCAL field into the Orbis variable field 950. An error message displays.

ERROR CODES

If the record contains fields or tags that cannot be passed by the Orbis MARC validation tables, an error message will display and you will not be able to enter the record. The fields that generate the error message will display at the end of the bib record. To edit these fields, first click once in the Orbis window. Some typical messages:

a. INVALID TAGS.  With one significant exception, variable fields with invalid tags should be deleted. (See section b. below for invalid indicators.) For bibliographic records passed from RLIN, a field with tag 950 should be retagged to 090 __.

NOTE: most libraries do not use reverse slashes, so editing out such slashes will be required only in some cases.

b. INVALID INDICATOR. Fields with error message INVALID INDICATOR should not be deleted. In general, the best solution is to "close-up" the colons. This allows Orbis to assign default indicator values for the tag.

c. FIELD TOO LONG. Usually  this happens with 5xx fields. Break up the single 5xx field into multiple 5xx fields by inserting field marks and additional 5xx tags. You may want to check with your supervisor if you don't have too much experience with 5xx fields or with editing long fields in Orbis.

Special instructions for Catalogers

CALL NUMBERS

Follow these instructions if you are overlaying an in-process record from the backlog which has not been "pre-CLARR'd" by acquisitions staff. For processing and editing of records "pre-CLARR'd" by acquisitions staff see: "Pre-CLARR'd" bibliographic records" below.

NOTE: CLARR copies the call number in the RLIN HOL record's CALL field into the variable field 090 _ _. No error message displays.
             A call number in the RLIN LCAL field is copied into Orbis as a 950 field, requiring re-tagging. See instructions below.

If you are overlaying a bib record passed from RLIN on an in-process record, there are 2 things to watch out for:

a. If the member library has already entered a 050 _4 field into the bib. record, the overlay will result in an 050 _4 and an 090 with a duplicate call number, since the CLARR program will automatically copy the call number from the RLIN HOLdings CALL field into the bib. record as 090 __.

If there are duplicate call numbers in the 050 _4 and the 090 fields, delete the 090 field with the duplicate call number.

b. If the member library has entered a local call number that does not follow the LC classification scheme into its RLIN CALL field, CLARR will copy that number into 090 __.

If there is a non-LC call number in the 090 __  (e.g. an NYPL number like 000 _ _ |b JFE 96-1348), delete the 090 field.

ERROR CODES

If the record contains fields or tags that cannot be passed by the Orbis MARC validation tables, an error message will display and you will not be able to enter the record. The fields that generate the error message will display at the end of the bib record. To edit these fields, first click once in the Orbis window. Some typical messages:

Checking "Pre-CLARR'd" bibliographic records

If the bibliographic record in LTYL has already been CLARR'd by acquisitons staff, the call number fields 050 _4 and 090 need to be checked for 3 conditions

  1. 090 to be retagged
  2. duplicate call number in 090
  3. non-LC classification in 090.

No 050 _4; retag 090 field. If there is no 050 4, the call number copied from RLIN HOLdings will be entered in field 090. If the call number is LC classification, the cataloger is expected to re- tag the 090 field to 050 _4 and add |dCtY (or your unit's NUC code; e.g. CtY-BR) to the 040 field. (Because the bibliographic record has been updated by adding a 050 _4 field)

Duplicate call number. If the member library already had an 050 _4 field in the bibliographic record, the call number copied from RLIN HOLdings will be a duplicate. Because the bibliographic record has not been updated, |dCtY is NOT added to 040.

OCLC's 090 field.

In OCLC all call numbers that follow the LC classification scheme are entered in field 090. (This does not necessarily mean the number correctly applies LC classification or is appropriate locally, e.g. the number may not follow Yale classed together or classed separately practice.) OCLC 099 fields used for local call numbers are not carried over into the bibliographic record.

Bibliographic records with field 090 exported from OCLC will overlay in Orbis in the same field 090. The 090 field should be re-tagged to 050 _4 and |dCtY (or your unit's NUC code) should be added to 040.

Cataloging units where the primary source of bibliographic copy is OCLC may prefer to re-set the "Shift imported 09x option." By de-selecting (unchecking) this option, the 090 field will be translated by the CLARR program to the Orbis 050 _4. (However, it should be understood that re-setting this option will make records passed from RLIN harder to interpret, e.g. it will not be clear whether the 050 _4 was already in the bibliographic record or was copied by the software from the RLIN CALL field.) Consult with your expert user.

927 TAPE 928 ACTAPE Because pass/xpo do not enter a YUL record in the network databases, catalogers must add 927::tape to the Orbis record to get the record into RLIN and OCLC.

EXCEPTION: in some special cases, units such as Mss.&A. and vernacular cataloging will be exporting copies of their records into Orbis which they have created or derived in RLIN; these units should NOT enter 927::tape in the Orbis record.

In general, acquisitions personnel should not enter 927::tape on records passed from RLIN or OCLC.)

All cataloging units will need to enter 928::actape to the Orbis record to allow the record to be flagged for authority processing.

A note on variant editions

Neither the pass (RLIN) nor the xpo (OCLC) commands enter a YUL record in their respective network utility databases. Therefore, if you don't find an exact edition but you do find good cataloging for a variant edition, you can "download" the variant edition cataloging to CLARR and overlay the in-process record as long as you edit the overlaid record to match the edition you have in hand.

You can also copy and paste segments of imported records from the import file to the Orbis record. In the RECORD TO IMPORT window of the toolkit, select the appropriate title. Click on the FULL RECORD button. With the mouse, select (highlight) the variable fields you wish to copy . Then, click on the COPY TO CLIPBOARD button at the base of the FULL RECORD window. Click in the Orbis window. Position cursor at the end of the bib. record. Click the PASTE TO NOTIS button at the base of the FULL RECORD window. The variable fields will display in the Orbis window. (If there are multiple fields, only the initial field will have a tag. ) Click in the Orbis window. Enter the record. (All tags will appear when the bib. record is redisplayed.) To close the FULL RECORD window, click on the CLEAR button at its base (CLEAR will NOT delete the record). TIP: the PASTE TO NOTIS button will sometimes paste the fields behind the toolkit windows. If you don't see the fields after you paste, click in Orbis and enter the record; the variable fields should appear when the record is redisplayed.

Importing the next CLARR record

Retrieve the next record to be overlaid and follow the same steps. If you leave the RECORDS TO IMPORT window up, CLARR automatically selects the next record on the list, so you can make your overlaying more efficient if you retrieve and overlay records in Orbis in the same sequence you have downloaded the records from the utility. (The downside is that you can overlay the wrong record if you are not careful.)

Deleting records from CLARR

When you have overlaid all the records in the RECORD TO IMPORT window, click on the DELETE THE RECORD button. Select the records you need to delete by clicking on the list entry for each record to be deleted and then clicking the delete button. Then click on the CLOSE THE WINDOW button. (Alternatively, if you intend to delete all the records in the import file, click on the DELETE THE FILE button.)

Some things to know about the System Options button

On the Toolkit icon, the Options button is directly to the right of the printer icon button. When the button is clicked, a window with multiple folders appears. In general, you should leave the pre-set options as is. However, there are certain options that may need to be re-set.

1. If you work with microform records, the CLARR program copies the RLIN 533 field's subfield 7 (which contains the string of fixed field values that apply to the microform copy) into a 539 field which Orbis does not recognize ("INVALID TAG"). See CLARR effect on 533/subfield 7 for instructions.

2. In order to capture LC classification call numbers in RLIN LCAL, we have selected RETAIN 9XX FIELDS IN IMPORTED RECORDS in the IMPORT option folder to capture LCAL in the 950 field. We have attempted to include some unwanted 9xx fields in the FIELDS TO BE DISCARDED area in the IMPORT option folder, but we are unable to enter all of them. If you repeatedly encounter a 9xx field in the course of overlaying that you have to delete, check with your Expert User, who can save it to FIELDS TO BE DISCARDED, and it will be stripped automatically. When you make such a change, tell the CLARR development folk so they can update the default list of fields to be discarded.

The RETAIN 9XX FIELDS IN IMPORTED RECORDS box should not be unchecked unless your unit does not use LC classification.

Closing CLARR

You can keep CLARR running all day in the background (minimized on the NT taskbar it is identified by the label "Cataloger's toolkit." However, never logoff and close OrbEdit/Hostex before disconnecting CLARR. To disconnect CLARR, close the RECORDS TO IMPORT window if it is open and then click on the DISCONNECT button (white background, red circle with a red line across it), and then logoff/close OrbEdit/Hostex. If OrbEdit/Hostex is closed before CLARR is disconnected, you may experience problems connecting CLARR the next time you start a session.

Addenda

CLARR effect on 533/subfield 7

Bibliographic records for microfilm reproductions created in the last few years will have a 533 |7 <subfield 7> which is used to record fixed field data applicable to the reproduction.

The CLARR default option moves the RLIN 533 |7 to a 539 field which will generate an error message on Orbis; apparently caused by a minor bug in CLARR. It has been decided to accept the 539 field if the record has been passed/exported via CLARR. See the next example for instructions for clearing the error message.
