CJK Quality Assurance

Follow the instructions below and undertake quality assurance (referred to as QA hereafter) on every box (or packet) of cards(or copies of cards) with which you work:
Select 20 unflagged cards from the processed portion of the box (or 10 unflagged copies from the processed portion of the packet).
Tip the cards.
For each tipped card:
Retrieve the appropriate Orbis record.
Assess the accuracy of the bibliographic record, and the MFHD record by following the appropriate instructions below.
ASSESSING THE ACCURACY OF THE BIBLIOGRAPHIC RECORD
- Assess the matching accuracy of the romanized data by comparing the romanized information on the card to the record in terms of the following elements:
- authorship (100/700 or 110/710 or 111/711)
- title proper (245 $a)
- edition statement (250)
- place of publication (260 $a)
- publisher (260 $b)
- date of publication (260 $c)
- number of pages/volumes (300 $a Arabic numerals only)
- series statement (440 or 490/830(800, 810))
- notes (5xx)
- Access the matching accuracy of the vernacular data by comparing the vernacular information on the card to the record using the OCLC CJK interface in the following elements in the parallel fields when applicable:
- authorship (100/700 or 110/710 or 111/711)
- title proper (245 $a)
- edition statement (250)
- place of publication (260 $a)
- publisher (260 $b)
- date of publication (260 $c)
- series statement (440 or 490/830(800, 810))
If any of the above elements differ, refer to the project specifications to determine if the match is acceptable.
Assess the editing accuracy by determining if the values in the following fixed fields (008) are correct:
- Publication Status
- Date 1 (yyyy)
- Date 2 (yyyy) -- when applicable
- Place of Publication
- Language
Additionally check to make sure that
- all filing indicators are correct
- a uniform title on the card is present in the record
- copy-specific notes on the card are present in the record
ASSESSING THE ACCURACY OF THE MFHD RECORD
Assess the accuracy of the 852 field of the MFHD record by determining the correctness of the values in the following fields:
- indicators
- subfield $b (location)
- subfield $k (stamp, including size and other designation, as appropriate) -- when applicable
- subfields $h and $i (call number)
Assess the accuracy of the 866/867/868 fields of the MFHD record (when applicable)
- Assess the accuracy of the 866/867/868 fields by determining whether the volume holdings are correctly recorded

Common Problem Resolutions from QA
If a preliminary record with an item record is converted in Orbis, relink the item. Suppress the MFHD on the preliminary record following the Preliminary Record Suppressing Policy for CMT Staff.
If a duplicate full-level Bib record is found, keep the bib and MFHD records that have better quality and/or fuller information according to the card and the Technical Specifications. Suppress the other record in terms of both bib and holdings information following the Preliminary Record Suppressing Policy for CMT Staff.
If a typos or minor error is found on an OCLC record,
If OCLC missed the 866 field for a multi-volume record,
generate an 866 field to record the holdings when they are available on the card.
pull the card and put it in the Check Holdings in Stacks box hwen the holdings are unavaliable or illegible from the card.
check the cards in the above-mentioned folder against the stacks in batches.
If you find incorrect Pinyin romanizations in an Orbis record, correct them in Orbis as much as you can and file the card.
If you find incorrect or missing vernacular characters, search OCLC or RLIN for a record that contains the correct characters.
- If the correct record is found, import into Orbis. Relink as appropriate. (Refer to the Preliminary Record Suppressing Policy for CMT Staff as necessary.
- If the correct record is not found, retrieve and edit the original record in RLIN to correct the vernacular characters and bring the revised record in Orbis and overlay the original one.
If the converted record is not found in Orbis for a card, search OCLC and/or RLIN for a matching record and bring it into Orbis. Add the MFHD record as appropriate. Overlay the preliminary record, if any. (Refer to the Preliminary Record Suppressing Policy for CMT Staff as necessary.
For all other problems, refer to your supervisor for adbvice.
