General Retrospective Conversion
Procedures
1. Search Orbis first to determine whether there is a provisional-level
record that will need to be overlaid or a full-level record to which you
can add your copy.
2. If you find a full-level record to which you can add your
copy, add a new MFHD:
*If you also find a matching provisional-level record with an item record, relink the item to the
full-level record and delete the remaining provisional record.
3. If you find only a provisional-level record, search OCLC or RLIN for a matching record.
4. If you do not find any record (full or provisional level) in Orbis, search OCLC or RLIN for a matching record.
5. If no copy is found in OCLC or RLIN, do one of the following: 1) Create a record in RLIN for the vernacular titles or 2) Create a new record in Orbis.

If you create a record in RLIN, follow RLIN cataloging procedures. Import the record into Orbis, and be sure to do the following in the bibliographic record in Orbis:
- In the Leader, select 1 (one) for the "Encoding Level"
- In the Leader, enter the "Cataloging Form" as blank
- In the 008, enter the "Cataloging Source" as appropriate, "d" in most cases
- Enter other fixed field elements as appropriate and based on
the card-in-hand
- Enter variable field elements as appropriate and based on the
card-in-hand. Verify headings (1XX, 4XX, 6XX, 7XX, 8XX) before
input
- Add a new MFHD

If you create a record in Orbis, use Orbis2 Policies and Procedures as your guide to entering data from the card. Be sure to do the following in the bibliographic record in Orbis:
- In the Leader, select 1 (one) for the "Encoding Level"
- In the Leader, enter the "Cataloging Form" as blank
- In the 008, enter the "Cataloging Source" as appropriate, "d" in most cases
- Enter other fixed field elements as appropriate and based on
the card-in-hand
- Enter variable field elements as appropriate and based on the
card-in-hand. Verify headings (1XX, 4XX, 6XX, 7XX, 8XX) before
input
- Add a new MFHD
