LSF Monograph Problem Resolution Procedures
1. Relinks--GEAC or Circ records
1.1 Item linked to GEAC or Temp. Circ. bibliographic record.
1.1 Search for appropriate bibliographic record in Orbis and relink item. Delete GEAC or Circ MFHD and bibliographic records after the relink. If no appropriate record found, then search and import bibliographic record from either OCLC, or RLIN or LCDB. Overlay the GEAC or Circ record with the new bibliographic record.
||2.1 Item linked to "cover" serial record for fully analyzed title.
||2.1 Search for appropriate analytic record in Orbis and relink item. If none found, search OCLC, RLIN or LCDB and import appropriate bibliographic record. Create a new MFHD and relink item from the cover record. Update holdings information for cover record as appropriate. Change location on cover record MFHD to its appropriate LSF location.|
|2.2 Item linked to provisional analytic for partially analyzed series
||2.2 Relink item to its cover serial record. In the 852 of the MFHD, verify or add $x part. Analyze, and update holdings information onMFHD of the cover record as appropriate, following Yale's current practice for holdings information: http://www.library.yale.edu/cataloging/Orbis2Manual/serialmfhd.htm. Delete provisional after above steps.|
|2.3 Item linked to appropriate level record for partially analyzed series.
||2.3 DO NOT relink item to its cover serial record. Update holdingsinformation in MFHD of the cover record as appropriate, following Yale's current practice for holdings information: http://www.library.yale.edu/cataloging/Orbis2Manual/serialmfhd.htm. Change location on cover MFHD to its appropriate LSF location.|
|3. Encoding Level 5
||3.1 Bibliographic record is "GEAC" or other provisional record.
||3.1 Follow Step 1.1|
|3.2 Bibliographic record is at full level but encoded incorrectly.
||3.2 Change encoding level to "blank" upon review and confirmation.|
|4. Call Number Problem
||4.1 Call number on spine does not match with picklist.
||4.1 Determine the correct call number using the clues from the markings in the book and/or additional information on the Orbis record. Correct MFHD or spine label, as appropriate.
|5. Added Copies
||5.1 Additional copy(s) (i.e., labeled as c.2, c.3, etc.).
||5.1 Verify the item pulled is another copy Create separate MFHD for each copy.|
|6. Picklist Review
||6.1 Volumes pulled did not match volume number recorded in the 300 field.
||6.1 Determine if 86X field(s) correctly reflects our holdings. Update MFHD as appropriate. For missing items unaccounted for, do one of the following:|
- For missing item with barcode, update item status to Missing.
- For missing item without barcode, create item record without barcode and change status to Missing
- For item charged to a patron, place a hold request on item. Follow the current document called, Item Hold Request.
|6.2 Volumes pulled matched volume number in the 300 field but MFHD not checked.
||6.2 Verify the correct holdings information is in MFHD. Create a new MFHD as necessary.|
|7. Title/Author Discrepancies
||7.1 Different title identified.
||7.1 Search Orbis to find the correct bibliographic record and relink item record as appropriate. Delete the old record if no other MFHD attached. If correct bibliographic record not found, search OCLC, RLIN or LCDB and bring the record in Orbis. If no other MFHD is attached to the old record, overlay it with the new bibliographic record. Do not overlay the old record if there is another MFHD attached.||7.2 Different author identified.
