Preliminary Record Suppressing Policy for CMT Staff

A preliminary record should be suppressed by using one of the following methods when it is appropriately converted on a full level record.

  • If there is only one MFHD on the preliminary record, and items on the MFHD are already relinked to the full-level record:

    • Suppress the MFHD by selecting the checkbox Suppress from OPAC on the System tab of the MFHD. Click on Save to DB.

    • Suppress the bib record by selecting the checkbox Suppress from OPAC on the Systemtab of the bib record. Click on Save to DB.


  • If there are more than one MFHD of the preliminary record, and all items on the MFHD records are already relinked, or none of the MFHD records has items attached:

    • Suppress all the MFHDs by selecting the checkbox Suppress from OPAC on the System tab of the MFHD. Click on Save to DB.

    • Suppress the bib record by selecting the checkbox Suppress from OPAC on the Systemtab of the bib record. Click on Save to DB.


  • If there are more than one MFHD on the preliminary record, but there is at least one MFHD that still has items attached:

    • Suppress only the MFHD that has no items attached. Save to DB.

    • DO NOT suppress the bib record.
