  1. Can the library events calendar be linked fro the Library Front Door in News, Events, Exhibitions ?  (October 2003)—Responded “I don't think this will be easy - as WebEvent doesn't store the records in an easy to use file structure...sorry - but glad you like the fact that it exists!”
  2. CC should look at communications in a very broad sense. (October 2003)  We are addresses both broad and specific communications issues.
  3. What are we doing to involve C&T in leadership positions. (October 2003)—Responded that the opportunity is provided, but much of the responsibilities/opportunities are taken on by volunteers.
  4. There is a need for email etiquette training (2003).  Referred to Kate Reynolds Netiquette site at http://www.library.yale.edu/training/netiquette/
  5. Can we have an Org chart?  (Do we *have* an organizational structure?) (April 2004)--Yes, the library does have an organization chart.  You can access it via the Library Human Resources web site under Staff Resources (http://www.library.yale.edu/lhr/resources/orgchart.doc).  Asked Jessica Linicus to include in Library Links.
  6. There should be a box where “employees who don't have access to a computer or want to be sure that their comments/suggestions are actually anonymous can be placed.  I think the ideal location in SML would be the SPOON.  The box should be opened only by the Communications Committee.” DONE
  7. CC should run another Update to staff (June 2004).  DONE Scheduled another one for June 10, 2004.

  9. From MC liaison meeting—language database, will it include resources outside of the library system? (October 2003)— Forwarded to Kate Reynolds.
  10. How about a recycling bin for paper in the Spoon? (April 2004) Forwarded to John Vincenti and Diane Turner—DONE. One was installed as suggested.
  11. Fourth floor bathroom is often out of paper, which is very inconvenient since meetings are held on that floor.  Also the paper is often put in the dispenser incorrectly so you can’t take the paper out. (May 2004) Forwarded to John Vincenti and Diane Turner.
  12. Signs reserving either room of the Spoon should have the date and time (including prep time) of the reservation and should be removed after the event. (May 2004) Forwarded to Diane Turner/LAS—DONE.  Groups using the room must now post a reservation information sheet.
  13. “It has been good to see the increased C&T presence on a variety of library committees.  It can only benefit the Yale University Library if all employees have the opportunity to take an active role in fulfilling the library’s mission.  One area that could be improved is the lack of C&T input into their supervisors’ promotion and review process.  This could entail having one or two C&Ts on the promotion review committee, or setting up interviews with staff supervised by the reviewee.  This would provide a more complete picture of that supervisor’s strengths and weaknesses, and help to identify areas where efficiency and service could be improved.” (May 2004) Forwarded to Chris Weideman, Chair of the Promotion Appraisal System Committee.
  14. From MC liaison meeting—we should provide communications training, not just guideline, MC responded by stating our scope is as advocates and we want to work with STOD not duplicate efforts—DONE.
  15. Why is http://www.library.yale.edu/strategicplanning/effectivemeet.html a part of library strategic planning? Should it be a part of Communications or be something for which [CC] are responsible? Where are the documents Guidelines for Committee Participation and the document created by [CC] on communication vehicles? Are they on any webpages? What can I say, I was actually trying to use them on our website and show them to people, but I couldn't. Please let the library know when they are online. (April 2004)  Responded that this is not a CC document also the other documents are now on our website and a message went out to YULib about them.

Ongoing

  1. Expand and update LHR Committees page to include all committees.  Also show member liaison relationships.
  2. It would be helpful if there was an ombudsman who could act as a resource for library staff as well as an advocate when traditional communication channels breakdown (October 2003)
  3. Best place to publicize regular committee meeting schedules (October 2003)
  4. Will the CC help with the issues of communications within and among departments?  I replied that this was a very good observation and that although initial efforts were focusing on communication applicable across the board - we would also focus on ways to help communication within and among departments. (October 2003)
  5. From MC liaison meeting—can we get an alias for CC and write emails like memos so people do not have to read the entire email unnecessarily (October 2003)
  6. Can we support professional activities of C&Ts beyond the learning plan?  Such as money and leave for conferences and meetings. (April 2004)
  7. Can we have a Why Not? Site for library? (2004) Sub-Group is working on this.
  8. “I noticed that it's easy to find information like how to access email, files and even Meeting Maker from home, but I'd like to see something for accessing voice-mail. How about changing the Accessing Files/Email from Home link to a link called ___ (can't think of a name for it right now) that includes instructions on accessing voice mail from a remote location.”  (April 2004 went to the Staff Front Door suggestions.  Responded that Web Support did not create such documents but would be willing to link to any existing document or one created by CC.)
  9. Put C&T job postings on YULIB like M&P postings.  It would make it easier for C&T’s to see jobs for lateral transfer or promotion.  It would also help remove two tier treatment between M&P and C&T (July or August 2004)
