RefWorks
All current Yale University faculty, students and staff have access to RefWorks.
RefWorks Login Instructions
The first time you login to RefWorks you must register for an individual account.
- Go to RefWorks
Login.
- From the login window, click the Sign up for an Individual Account link.
- Complete the New User Information box. You will select your login and password. Important: Do not use your Yale NetID and NetID password.
- Click Register.
- You will receive an email confirmation including your login and password.
You only need to register once. After you have registered, you may access RefWorks from any Yale networked computer (or any computer with Internet access when you use the proxy server.)
Remote Access to RefWorks
When you are not on the Yale network, you must use the proxy server.
Building Your RefWorks Library: Importing Citations
Once you have created a RefWorks account, you will build your personal library of citations. The best way to do this is to pull citations from research databases, or the library's catalog, Orbis. For the majority of research databases, you will be able to save citaitons and later import them to RefWorks.

Exporting from Google Scholar
to RefWorks
RefWorks users can now set an export preference to send data from Google
Scholar
to their RefWorks account. To configure this
feature in Google Scholar:
- From the Google Scholar search page, click
on
the Scholars Preferences link.
- Scroll down to the Bibliography Manager
section.
- Select Show Links to Import into and select
RefWorks from the drop-down.
- Click Save Preferences.
To initate a direct export to RefWorks:
- Conduct your search in Google Scholar
- Each record displayed will have an Import into
RefWorks link. Clicking on the
link will launch the RefWorks login page.
- Once you log in, you are brought automatically
to the Edit view of the reference.
- Your record is stored in your Last Imported
Folder.
Importing Unicode Records
from Orbis
- In Orbis, do a search and go to Save Options at the bottom of
the
screen.
- Select the download format "Full Format" from the pull down menu and
click on Print/Save.
- From your Web browser's File menu, select Save As... and save the
file.
- Within RefWorks: From the References menu, select Import.
- For Import Filter/Data Source choose "Yale University." For Database
choose "Yale Library Orbis." Browse for the saved file from Orbis. For
Encoding choose "UTF-8." Click the Import button.
Inserting Citations from Your RefWorks Library into a Paper
There are two ways you can use RefWorks to insert citations into a Word Document and then format the bibliography for the document. One method requires that you download and install a software plugin, called Write-N-Cite, on your computer. The second method does not require the plugin.
Write-N-Cite
To use Write-N-Cite with Microsoft Word, you must first download and install this plugin on your computer.
- Start a RefWorks session. You must be using the personal computer where you will access Word.
- Select Tools and then Write-N-Cite. When prompted, select "Open" (not Save). Follow the onscreen instructions. When the installation is complete, you must restart your computer.
Once you have installed Write-N-Cite, you can begin to insert citations into documents. Before you start, make sure you close any open RefWorks windows.
- Start a Word document. Position the cursor where you want to insert a citation, and click on the Write-N-Cite button .
- A RefWorks Write-N-Cite session will begin, and you may search or browse to find the desired reference. When you find the correct reference, just click Cite to the left of the reference.
- In the Word document you will see a placeholder for the citation. This will look like: {{772 Anonymous 2004; }} where 772 is the RefWorks record number, the author is anonymous, and the year of publication is 2004. If you want to cite another reference in the same place, place the cursor after the semicolon and repeat the steps above.
- Continue to write and whenever you need to insert a reference, simply go to your open Write-N-Cite session.
Inserting Citations Without
Write-N-Cite
This is a two-step method. First export references and associated Ref
ID's from RefWorks. Then, insert those Ref ID's in the paper.
Export References and Ref ID's
- Go to RefWorks, click on the References drop down menu and
select
Export.
- Select All References, My List or References from a particular folder.
- From the list of Export Formats choose the Citation List option and
click Export to Text File. This format
provides you with a list of your records and their RefWorks Reference ID
number.
- Save or print this document for easy reference.
Insert
Ref ID's
To use this method, you must know the Ref ID number for the RefWorks citation you want to insert in a Word Document. The Ref ID is a number used to identify every RefWorks record. No two Ref ID's are ever the same.
- Open the Word document and point the cursor at the place where you will insert a citation.
- Type {{ Ref ID}} where Ref ID is the number of the desired RefWorks citation. For example, if the Ref ID is 33, type {{33}}
- When all citations have been entered in the document, save a final copy.
Format a Bibliography
When you are completely done and have no more changes to make to your paper, you can use RefWorks to quickly format a bibliography from your inserted citations.
Using Write-N-Cite to Format a Bibliography
- You must first save a copy of your paper.
- If you do not have RefWorks Write-N-Cite open, start Write-N-Cite from within Word.
- In Write-N-Cite select Bibliography.
- Select the desired "Output Style" from the drop down list and click on Create Bibliography.
- Save this new document with a new name.
- If you later decide to edit your Word document, make changes to the first saved document (the unformatted paper with no bibliography).
Formatting a Bibliography Without Write-N-Cite
- Open your RefWorks library. Select Bibliography
from the top level menu.
- Choose the appropriate Output Style from the drop-down list.
- Check Format Paper and Bibliography.
- Enter the location and file name of the saved Word document to be formatted.
- Click Create Bibliography.
Share a Group of References with
RefShare
To distribute a group of references (with Yale Links to online
fulltext when available) to colleagues or students:
- Create a folder in RefWorks and put each reference to be shared in
that
folder.
- To share that folder, select Tools/Share References.
- A list of all your RefWorks folders will display. Click Share
Folder next to the desired folder.
- Set options to restrict functions such as print or export of
references.
- The URL where the references are posted is at the top of the page.
Copy and paste this URL, or use the e-mail option to send the URL to a
person(s) you specify.
Your folder of references will be shared in read-only format.
No one will be able to edit your references.
