March 14, 2006

PRESENT: Marybeth Bean, Rick Bean (Chair), Susan Burdick, Patrick Butler, Susan Crockford-Peters, John Gallagher, Victoria Gardner, Cindy Greenspun, Chris Killheffer, Lorine Murphy (Recording Secretary), Dana Peterman.

Announcements: Susan Crockford-Peters will be away during the month of April. In her absence, contact Cindy Greenspun, Access Services Supervisor.

Recap of Ivies+ Access Services Symposium: Sue Crockford-Peters and Marybeth Bean said that the Symposium was a great success. Thanks went out to Cindy for creating a great web design. Cindy will request copies of the pictures that were taken be sent to her for posting the website. The entire symposium was a success. Staff should begin to make plans to attend next year's symposium, which will be held at Rutgers, during 2007 spring break.

Staff was impressed with the Radio Frequency Identification (RFID), which is a wireless data collection technology that uses electronic tags for storing data. Like bar codes, they are used to identify items. Unlike bar codes, which must be brought close to the scanner for reading, RFID tags are read when they are within the proximity of a transmitted radio signal. Libraries use them to track books and videos. A discussion ensued about their suitability for Yale University Library collections and their costs.

Circulating Course Reserves: New circulating policy for books borrowed for reserve. All books borrowed from libraries on campus for reserve may now circulate for 2 hours, 3 days or 24 hours as specified by faculty request. All libraries represented agreed. A formal request will be presented to Public Service Management Group by Cindy Greenspun.

Overnight reserve loan period: There are concerns with the timetable for 24 hours reserves. Chris Killheffer will revisit this issue in July.

Printed Notices: Due to a change in staffing at RIS, all access services departments will now receive printed notices in the afternoon mail.

E-mail list for communicating concerns: Chris Killheffer suggested creating a separate e-mail list to be used for CSG discussion. The list would have all CSG members but not Systems office contacts and not Danuta, who would be spared receiving lots of e-mails that do not require their attention. The official CSG list will continue to include Systems contacts and Danuta, and will be used to notify them of important matters.

Upcoming Conferences: EndUser-April 20-22, 2006

Next meeting will be held April 11, 2006.
