Absent: Dale Askey, Manon Theroux.

1. Announcements

Karen received compliments on YUL front door from the webmaster of Oxford University Library. Kalee announced that the systems office would begin testing a new Voyager patch on June 1.  The testing and implementation process will take about 6 weeks.  One feature that will be implemented as part of the patch is login by NetID and Password.

2. Orbis statistics progress report

Kalee and Gail Barnett of ITS are working on setting up the infrastructure for the Orbis statistics. Their plan is to keep on the web one month of Orbis statistics that we can run queries against. Previous months' logs will be archived and available in a flat file. March 2004 data shows the busiest day for Orbis search is Thursday and then Monday and the busiest time in a day is 2 to 3pm (but after the meeting Kalee noted the statistics look very different for April).

Related to using Orbis statistics, Karen mentioned library staff can log onto Google Search Appliance Support site to see the search strings used to search the YUL Web site. These search strings will provide another set of data for inferring user behavior.

3. Appropriate use text on Online Journals and Databases pages (15 min.)

Katie offered to supply a shorter version of the Appropriate Use statement after the meeting, which we will send to Kimberly Parker for her review and approval. The link to the text will appear on both Online Journals & Newspapers main page and Databases & Article Searching main page, but not on individual DBOW pages.

4. Requested changes to "permissions" requests (15 min.)

This issue was raised by Sue Crockford-Peters who occasionally receives misdirected requests for permission to reproduce/publish from library-owned materials. She has asked us to consider some changes to make it more likely that readers will find the info and direct their requests appropriately. The permissions page is here: http://www.library.yale.edu/about/permission.html

Sue’s suggestions were:

  • Convert the form on that page to a web form.
  • Modify the Access & Use link on the FD to include another word like Permissions or Reproductions, or create a separate Rights & Reproductions link.
  • If we create a separate link, also create a page linking all libraries' rights/reproductions info (e.g. Walpole, Beinecke).

Regarding the text of the Permissions page, Tim stated letting the user decide the copyright holder is the standard policy in libraries. After discussing Sue’s suggestions, the group decided:

  • Change the page title to “Permission to Publish Materials in Library Collections”.
  • Make no change to the link “Access and Use” for the time being. Julie will probe how Sue got the inquiries on permissions and PIC may make changes accordingly.
  • Replace the current form with a web form or add a web form on the Permissions page after consulting Danuta and Maryetta.
  • Add the links to the permission/reproduction page of branch libraries (Beinecke, Divinity, Walpole).
