  EndNote is a commercially available software program for managing bibliographic citations.  This software is not installed on the public workstations in the library; anyone interested in using EndNote must purchase it individually and install it on a personal computer. (It is for sale at local stores, including the Yale Bookstore and the Microcomputer Support Center. )

  EndNote is used to construct and manage bibliographic citations, which are contained in files called libraries.  It is possible to create citations manually, one at a time; to import (and add to a library) the citations from downloaded results of searches in bibliographic databases; to search some bibliographic databases from within EndNote, adding the resulting citations to a library; and to access and use EndNote while writing a paper.  

Using EndNote with Word Processors
In addition to being a reference database, EndNote is also a bibliography  maker. It works with your word processor to create formatted bibliographies and citations in your documents. EndNote works best with Microsoft Word for Windows 6, 7, or 97; or WordPerfect for Windows 6.1-8.0.

For the library workshops we will use an established library, made up of references to sources about wine.  These citations will have come from a variety of sources.

  • Library window: lists all the references contained in the library, giving author's last name, year of publication, and title

  • Default library: may be set to open automatically when EndNote is started

  • References: may be selected from the library window (by clicking, by using arrow keys, or by typing the first few letters of an author's last name)

  • Reference window: displays all the information associated with a specific reference; information may be entered or edited here

Creating Citations

  • In the Library window, choose New from the References menu

  • Choose appropriate Reference Type from menu

  • Type in reference information, using Tab key to move through the record

  • Close the Reference window, thus automatically saving the information as a Reference

Searching for Citations within a Library

  • Choose Search from the References menu

  • To find all references on [word] published after 1990:

  • Type [word] in the first box, selecting In any field

  • Choose Year from the Field list box and choose More or equal from the Symbols menu

  • Type in 1991

  • Select And

  • Click Search

Importing Citations

To import citations from a bibliographic database you must first search the database and save the resulting citations as a file. This file may then be brought into EndNote, but it must first pass through an appropriate Filter to format the citations.  Filters exist as separate files and have been developed for individual databases; many are included in the EndNote software package, others may be downloaded from the EndNote web site, and still others have been created locally and are available here. Existing filters may be edited to accommodate citations from databases for which there is not an appropriate filter. It is also possible to search some databases from within EndNote, using special connection files, but the searching capabilities provided are rudimentary; it is usually more useful to search in the database itself and then import the resulting citations into EndNote.  

A note on Orbis: It is not possible to download and import records from Orbis into EndNote.  It is possible to search Orbis from within EndNote using a special Connection File, but the searching capabilites are rudimentary at best and this method of searching is not recommended.  It is also possible to search in WorldCat or Eureka and limit the results to Yale's holdings. See below for instructions.

The files available for downloading from the page are self-extracting files in the [filename].exe format.

1. Download the file to your computer. Note the directory where you download the file.

2. From the Start menu, choose Run; click on Browse to find the file, or type in the location and name of the file.

Importing Citations from Eureka and WorldCat

Eureka (Web version)

  • Log in to Eureka

  • Select Options from the menu on the left of the screen

  • Select Disk File and EndNote/Refer/BibIX

  • Select a Search option and perform your search, marking records you want to keep

  • For instructions on limiting your results to Yale's holdings, click here

  • Select the briefcase icon (Export) located on the top right of the screen. The records will download to a file on your computer

  • In EndNote, under the File menu, select Import

  • Find and select the downloaded Eureka file by selecting Choose File and going to the appropriate folder in your EndNote directory

  • Select "Refer/BibIX" from the Import Option menu

  • Click the Import button; the citations will be "processed" into your open library

WorldCat (Web Version)

  • Log in to WorldCat

  • Perform your search, marking records you want to keep

  • For instructions on limiting your results to Yale's holdings, click here

  • Click on Marked Records at left of screen

  • Click on Detailed at top of record list to display marked records in full

  • Click on Print at top right of screen

  • Choose Save as at top of File menu and save your results as plain text (e.g., worldcat.txt) in an EndNote folder

  • Find and select the downloaded WorldCat file by selecting Choose File and going to the appropriate folder in your EndNote directory

  • Select Other Filters from the Import Option menu

  • Go to the Filters folder in your EndNote directory; choose Worldcat.enf file

  • Then click the Import button; the citations will be "processed" into your open library

Importing Citations from Other Databases

1.  ISI Web of Science - Arts & Humanities Citation Index (AHCI)

  • Perform a search in Web of Science as usual (in this case search on "wine").

  • Select the desired articles by clicking the button to the left of each article, and finally selecting the Submit button.

  • Go to the Marked Records page by selecting the Marked List icon at the top of the page. (This icon will only appear after you have successfully selected one or more articles.)

  • On the Marked Records page confirm your selection and select either the Save to File or Export button. Either action will cause your browser to prompt for an action: the appropriate response is save to a file.

  • Call the file AHCI.txt and save it in a folder in your EndNote directory.

  • In EndNote, open an EndNote library or create a new one to store the records.

  • Select Import from the File menu.

  • Find and select your AHCI file by selecting Choose File and going to the appropriate folder in your EndNote directory.

  • Select Other Filters from the Import Option menu.

  • Go to the Filters folder in your EndNote directory, then to the ISI folder; choose ISI-Web_of_Science.enf file.

  • Then click the Import button; the citations will be "processed" into your open library

2. ISI Web of Science - Social Science Citation Index

  • Perform a search in Web of Science as usual (in this case search on "wine").

  • Select the desired articles by clicking the button to the left of each article, and finally selecting the Submit button.

  • Go to the Marked Records page by selecting the Marked List icon at the top of the page. (This icon will only appear after you have successfully selected one or more articles.)

  • On the Marked Records page confirm your selection and select either the Save to File or Export button. Either action will cause your browser to prompt for an action: the appropriate response is save to a file.

  • Call the file SSCI.txt and save it in a folder in your EndNote directory.

  • In EndNote, open an EndNote library or create a new one to store the records.

  • Select Other Filters from the Import Option menu.

  • Go to the Filters folder in your EndNote directory, then to the ISI folder; choose ISI-Web_of_Science.enf file.

  • Then click the Import button; the citations will be "processed" into your open library

3.   ABC-Clio - America: History & Life (AHL) and Historical Abstracts (HA)

  • Perform a search in AHL or HA as usual.

  • From the output options page on AHL or HA, choose preferred format and entries and select ASCII Display.

  • Click on Submit.

  • Under File select Save As.

  • Call the file [name].txt and save it in a folder in your EndNote directory.

  • In EndNote, open an EndNote library or create a new one to store the records.

  • Select Import from the File menu.

  • Find and select your file by selecting Choose File and going to the appropriate folder in your EndNote directory.

  • Select Other Filters from the Import Option menu.

  • Go to the Filters folder in your EndNote directory, then select the ABC-CLIO.enf filter

  • Then click the Import button; the citations will be "processed" into your open library.

4.  ARTbibliographies Modern on the Web

  • Perform a search as usual, tagging records as desired
  • Click on the Print Save Email button the left of the screen

  • Choose Full Entry and ASCII Display

  • Click on Submit.

  • Under File select Save As.

  • Call the file [name].txt and save it in a folder in your EndNote directory.

  • In EndNote, open an EndNote library or create a new one to store the records.

  • Select Import from the File menu.

  • Find and select your file by selecting Choose File and going to the appropriate folder in your EndNote directory.

  • Select Other Filters from the Import Option menu.

  • Go to the Filters folder in your EndNote directory, then select the artbibmod.enf filter

  • Then click the Import button; the citations will be "processed" into your open library.

5.  MLA Bibliography (via FirstSearch)

  • Perform a search as usual, tagging desired records
  • Click on Show under Tagged Records at the top or bottom of the list of records
  • Under File, select Save As
  • Call the file [name].txt and save it in a folder in your EndNote directory.
  • In EndNote, open an EndNote library or create a new one to store the records.

  • Select Import from the File menu.

  • Find and select your file by selecting Choose File and going to the appropriate folder in your EndNote directory.

  • Select Other Filters from the Import Option menu.

  • Go to the Filters folder in your EndNote directory, select the Oclc folder, and then open the MLA-Bibliography-(OCLC).enf filter

  • Then click the Import button; the citations will be "processed" into your open library.

6.   Humanities Abstracts (WilsonWeb)

  • Perform a search as usual, marking records as desired
  • Click on Change Display Options
  • Choose Short Labels under the Show field names as
  • Choose desired fields (Citation or All Fields or selected fields)
  • Click on Apply New Display Options
  • Click on Save
  • Choose which records to save, and click on Save Records
  • Call the file [name].txt and save it in a folder in your EndNote directory.
  • In EndNote, open an EndNote library or create a new one to store the records.

  • Select Import from the File menu.

  • Find and select your file by selecting Choose File and going to the appropriate folder in your EndNote directory.

  • Select Other Filters from the Import Option menu.

  • Go to the Filters folder in your EndNote directory, and open the humabs.enf filter

  • Then click the Import button; the citations will be "processed" into your open library.

7.   Art Abstracts and Art Index Retrospective (WilsonWeb)

  • Perform a search as usual, marking records as desired
  • Click on Change Display Options
  • Choose Short Labels under the Show field names as
  • Choose desired fields (Citation or All Fields or selected fields)
  • Click on Apply New Display Options
  • Click on Save
  • Choose which records to save, and click on Save Records
  • Call the file [name].txt and save it in a folder in your EndNote directory.
  • In EndNote, open an EndNote library or create a new one to store the records.

  • Select Import from the File menu.

  • Find and select your file by selecting Choose File and going to the appropriate folder in your EndNote directory.

  • Select Other Filters from the Import Option menu.

  • Go to the Filters folder in your EndNote directory, and open the artabs.enf filter

  • Then click the Import button; the citations will be "processed" into your open library.

8.   ATLA Religion Index (FirstSearch)

  • Perform your search, marking records you want to keep
  • Click on Marked Records at left of screen

  • Click on Detailed at top of record list to display marked records in full

  • Click on Print at top right of screen

  • Choose Save as at top of File menu and save your results as plain text (e.g., atla.txt) in an EndNote folder

  • In EndNote, under the File menu, select Import

  • Find and select the downloaded ATLA file by selecting Choose File and going to the appropriate folder in your EndNote directory

  • Select Other Filters from the Import Option menu

  • Go to the Filters folder in your EndNote directory; choose atla.enf file

  • Then click the Import button; the citations will be "processed" into your open library

9.   Bibliography of the History of Art (BHA) via CitaDel/Web

  • Log in to BHA
  • Select a Search option and perform your search, marking records you want to keep
  • Select Options from the menu on the left of the screen
  • Select Disk File and EndNote/Refer/BibIX

  • Select the briefcase icon (Export) located on the top right of the screen. The records will download to a file on your computer

  • In EndNote, under the File menu, select Import

  • Find and select the downloaded BHA file by selecting Choose File and going to the appropriate folder in your EndNote directory

  • Select "Refer/BibIX" from the Import Option menu

  • Click the Import button; the citations will be "processed" into your open library

10.   Index to 19th-Century Art Periodicals 

  • Log in to Index
  • Select a Search option and perform your search, marking records you want to keep
  • Select Options from the menu on the left of the screen
  • Select Disk File and EndNote/Refer/BibIX

  • Select the briefcase icon (Export) located on the top right of the screen. The records will download to a file on your computer

  • In EndNote, under the File menu, select Import

  • Find and select the downloaded BHA file by selecting Choose File and going to the appropriate folder in your EndNote directory

11.  Philosopher's Index

  • Log in to Philosopher's Index
  • Perform a search as usual, displaying and marking records as desired
  • Click on Change Display Options
  • Choose Short Labels under the Show field names as
  • Choose desired fields (Citation or All Fields or selected fields)
  • Click on Confirm Changes
  • Click on Save
  • Choose which records to save, and click on Save Records
  • Call the file [name].txt and save it in a folder in your EndNote directory.
  • In EndNote, open an EndNote library or create a new one to store the records.

  • Select Import from the File menu.

  • Find and select your file by selecting Choose File and going to the appropriate folder in your EndNote directory.

  • Select Other Filters from the Import Option menu.

  • Go to the Filters folder in your EndNote directory, and open the phil.enf filter

  • Then click the Import button; the citations will be "processed" into your open library.

12.  Dissertation Abstracts

  • Log in to Dissertation Abstracts
  • Perform your search, marking records you want to keep

  • Click on Marked Records at left of screen

  • Click on Detailed at top of record list to display marked records in full

  • Click on Print at top right of screen

  • Choose Save as at top of File menu and save your results as plain text (e.g., worldcat.txt) in an EndNote folder

  • In EndNote, under the File menu, select Import

  • Find and select the downloaded Dissertation Abstracts file by selecting Choose File and going to the appropriate folder in your EndNote directory

  • Select Other Filters from the Import Option menu

  • Go to the Filters folder in your EndNote directory; choose DissertationAbstracts.enf file

  • Then click the Import button; the citations will be "processed" into your open library

More on Eureka:

General comments on limitations:

  • Eureka will not carry over selections of search terms or marked records from one screen to another, so you must work with every 25-record screen display as an individual group of records. A good way around this is to review the list of search results by looking at the full records for each title identified.
  • Select the first item in the list, and Send that selection.
  • From the full record of the title, Save it to the Notebook.
  • Go on to the next record by clicking the down arrow.
  • At the end of the selection process, click on Notebook to see the full list of titles you've selected. The Notebook also has the 25-title screen display limit, so Select every title on the first page, click on Export, and the first 25 records will be downloaded to your computer. Go on to the next page of results and repeat this process until you've downloaded the complete contents of the Notebook.

To limit to Yale's holdings:

  • Once you've performed your search, select Limit
  • Select Location Code, then all locations
  • Scroll down until you see the beginning of the entries for Yale
  • Choose every Yale library (or select those you want) by clicking on the name
  • Close the dialog box
  • Click Apply Limit
  • Continue with the instructions on downloading the records to your computer. Call numbers for the titles will not be part of the record downloaded.

Eureka via Telnet:

  • Once you've performed your search, type limit ctyg ctya, and press Enter
  • To include records from ALL Yale libraries, type limit ctya ctyg ctys (and all the other Yale library identifiers listed below)
  • To include only specific Yale libraries, select those codes from this list:
  • For records for all Yale libraries loaded since 1992:
  • CTYA
  • Before 1992 Yale records were loaded for individual Yale libraries or collections:

  • Create a new mail folder where you'll save the results of your search.
  • Open an FTP client to your account on the Pantheon, and select the directory on your computer where you want to direct your search results.
  • In your Pantheon account, select the mail directory (be sure to choose the mail, not the Mail directory)
  • Select the folder containing your search results
  • Click the Binary button, then the directional arrow to download from the Pantheon to your computer
  • Continue with the instructions on how to import these records into EndNote

More on WorldCat:

To limit to Yale's holdings:

  • Log in to WorldCat
  • Perform your search, marking records you want to keep (To perform a subject search, use the Advanced Search screen.)
  • If you want to limit your search to those items held at Yale, click the box next to Items in my library (YUS) before you perform your search.
  • If the number of records found exceeds the display limit currently set for your screen (the default is 10 records per screen), change the default so more records will display at one time on your screen.
  • Click on Options in the list of actions on the left. Change the Record List Size to a number exceeding the number of records in your result set (the largest possible is 100), and click Set.
  • Then from the List of Records, either mark the individual records you want to keep, or scroll to the bottom of the screen, and click Mark all.
  • From the list of actions on the left, click on Marked Records.
  • Click on Detailed at top of record list to display marked records in full
  • Click on Print at top right of screen
