Draft 3 of the policy sent out by Audrey on 4/18/05 was briefly discussed.  It was agreed that this is the current state of the policy and that all the changes made should be accepted. 

 

David presented his re-worked Storage statement.  There were some minor wordsmithing changes made and a suggestion for an introductory sentence.  These changes were noted and he will provide the updated version for inclusion in the new policy draft.

 

The Access section of the policy was reviewed and it was agreed that this was fine for now.

 

How the Glossary should be structured. Reviewed two ways glossaries have been done.  First was to simply define how the terms are used in a document or at an institution.  The other was to point to glossaries complied by other organizations: The Nat Lib Australia: http://www.nla.gov.au/padi/format/gloss.html model.  The decision was to do a bit of both.  We would define how we used the term and if at all possible point to the source or basis for that interpretation.  The other thing was to write a very brief Introduction to the glossary outlining how it is put together.

Next Meeting (May 2):

·        Review of Draft 4 and discuss problem areas and terms to be included in glossary

·        Start to outline the Best Practices section—this will continue for the May 9 meeting.
