Present: Bobbie Pilette, Rebekah Irwin, David Gewirtz, Audrey Novak, Gretchen Gano,
Absent: E.C. Schroeder, Kevin Glick
The committee reviewed comments on the policy. In particular were two areas under “Identification of Content, File Format…”: Sources of Digital Content & Collecting Levels. Sources was modified (changes in blue):
o Born
digital resources and digital surrogates created by YUL.
o Born
digital resources and digital surrogates originating external to YUL that
are not entrusted to a third party to preserve ;for
example, other university departments, for which YUL has a mandate to
preserve.
o Digital
resources acquired by YUL through purchase or donation.
o Digital
resources licensed by YUL with perpetual access and archival rights.
Audrey is going to work on the Collecting Levels section.
We also discussed under which Use Case the purchased media/circulating media, that is, media that accompanies a book or some sort of paper resource, would belong. In the end it was decided it most logically belonged with Licensed/Purchased Electronic Resources.
We then started to discus the first of the Use Case scenarios. The object was to review the scenario to come up with the concerns and issues. Audrey had prepared a write up of the Licensed/Purchased Electronic Resources. The issues raised all agreed were very relevant and could apply to a number of other cases. The next step was to decide who would help establish the best practice related to the issue. The exercise then began with looking at each issue and identifying a unit, individual or group of people to address it.
It is suggested that each of the Use Cases have a written form for the committee to look at prior to the meeting. An added idea is to have a space/column in order to indicate who may be good to involve in the writing of best practices with reference to that issue.
Action:
ü Committee members will take “Use Case” categories—seeing what are the issues associated with each and what we need to consider.
