Project 03 : Electronic Reserves Prototype
Meeting Summary: August 3, 2006
Announcements: Ken Raining is the new supervisor in Access Services for CCL and Reserves - he will be joining the e-reserves Working Group. Introductions around the table were done.
Agenda/Discussion/Decisions:
- Workflow Process for Digitization: Jen reviewed the workflow process for sending items to RIS. Items need to be placed in a blue bin with the e-reserves form in each volume. The form must be printed on yellow paper (see Jen if you need paper). The ELI Express run will pick up the books and deliver them twice a day to RIS. RIS will digitize the books on a 3-5 day turn around and will return the books to the Library designated on the form. Folks had a few comments on the form - Jen will send the final version out by end of day August 4.
- KMR will get the server URL to Jen for inclusion on the form. (done)
- PDFs that need copyright clearance: If you receive a .pdf from a faculty member and need to obtain copyright clearance for it - e-mail it to Rose in RIS using the form that Jen will send us (along with Rose's e-mail address).
- Orbis e-reserves template: Audrey has created the Orbis e-reserves template. Jen demonstrated it to the group. Kalee with check to see if the location can be required and if the template can default to the yuleres location automatically. WWDCS will need to push the updated circ template to staff workstations.
- Jen will write draft documentation on using the Orbis e-reserves template.
- WWDCS will code a custom '404 file not found' message that will display when the items have been entered into Orbis or V2 but have not yet been digitized and loaded onto the server. Suggestions on wording please send to Karen or Ernie.
- Folks will begin adding records to Orbis next week - Kalee will then test the workflow of the Course Reserves V2 feed.
- Mike Appleby mentioned that some course numbers in Orbis seem to be non-standard - Kalee with work with Ken to make sure the University standard codes are entered into Orbis.
- Looks like the first items will go to RIS for digitzation next week (week of August 7th)!
Reminder: Materials from special collections or that are in poor condition should not be sent to RIS - see Jen for help in digitizing such items.
