Job Posting Workflow

All hiring supervisors are requested to submit requisitions for C&T and M&P positions on-line to the Library Human Resources Department. The following is the procedure that should be adhered to when filling positions:

1) Notify Human Resources as soon as possible of vacancy. If you are considering organizational changes, schedule a time to meet with Diane Turner or Bernadette Cioffi.

2) Complete on-line requisition which can be found on the Library Human Resources Forms page or at: http://www.yale.hronline/recws/forms.htm; send as an attachment to the e-mail. Please be certain the requisition includes charging instructions.

3) Prepare job description listing overall purpose and essential functions of the position, and qualifications. Submit job description as a Word document and the job requisition as an attachment to e-mail.

4) Electronic versions of job descriptions and requisitions should be sent from hiring supervisor to the Department Head to the AUL. The AUL will submit to Library Human Resources.

5) E-mail request with attachments should be sent to HRLibrary@yale.edu and not directly to Diane Turner or Bernadette Cioffi.

6) Requests will be forwarded to either Diane Turner (for Librarian positions) or to Bernadette Cioffi (for C&T and Management positions.

7) Job descriptions are reviewed by Diane Turner or Bernadette Cioffi. Suggestions and/or changes to the description are made in consultation with the hiring supervisor.

8) Positions are posted in the University through Resumix and appear in the next day job postings.

9) For librarian positions, the job is advertised on the Library’s LIST, nationally on various LISTS, the Chronicle of Higher Education and other special publications. For Clerical and Technical and Managerial positions, the Human Resources Representative creates a search for each position to determine qualified candidates. Positions are also advertised in local newspapers.

10) Human Resources Representative reviews/interviews candidates for referral/or not to supervisor.

11) Hiring supervisor notifies Human Resources Assistant of candidates to be scheduled for interviews; HR Assistant will then set-up interviews.

12) Supervisor can follow format provided in Interview Questions found at:

13) Supervisor conducts reference checks using format found at:

14) Supervisor makes selection and completes Recommendation for Selection form

15) Completed/signed Recommendation for Selection Form is received by Human Resources and reviewed. Human Resources makes verbal offer and send written offer letter. Successful candidates for management positions must provide their acceptance of the position in writing. Rejection letters are forwarded to other candidates. Internal candidates are notified by telephone as well as receiving a letter of rejection.

16) Position is removed from posting on date job is accepted by candidate.
