Members
present: Kelly Shand(secretary), Diana Quinones(chair), Ruth Carruth(chair-elect),
Mary Bradway, Cesar Zapata, Lolly Lee, Amanda Patrick, Suzanne Mirabile,
Kathleen Burns (webperson), Stephen Cohen, and Bernadette Cioffi.

Meeting
convened at 2:00 p.m.
Election
results: Diana announced the results of the chair for next year. Almost
everyone on the committee voted. Ruth Carruth is the chair-elect. Congratulations
to Ruth were offered.
New Staff
Reception: The NSR will be held on Friday November 12, 2004 at Sterling
Strathcona Sheffield Hall(SSS) on the 4th floor. The room number is 405.
It will run from 3-5. The menu is supplied by Yale Catering. Cakes will
be supplied by Julia’s Bakery in Orange. Suzanne is going to call
and order the two cakes that were decided on at the testing. 1 full sheet
Napoleon and a half a sheet chocolate cake.
Ruth called
for volunteers to help with the event. Diana and Bernadette will help
with the entire event. Cesar and Stephen will be there for the closing
and clean-up. Lolly will be there for opening at 1:30 pm. Stephen Cohen
said he might be able to help with opening as well. Kathleen Burns volunteered
to man the table with the nametags as long as she didn’t have to
pin anyone. Stephen Cohen asked in light of that concern if we could have
adhesive nametags for the invitees and committee members. The majority
of the committee thought that was a good idea and Bernadette and Human
Resources would look into it for the Reception.
Because the reception is on a Friday there were concerns about leftovers.
Be prepared to take stuff home or have large trash bags to use. Ruth said
we have the room until 6 so clean-up should be done in that time.
Those who
want to volunteer to help set up should be at SSS Hall by 1:30. The hall
is on the corner of Grove and College across from Woolsey Hall. It is
where the Yale College Dean’s offices are.
Holiday
Party: The holiday party will be held on December 8, 2004 from 4-6.
We are looking at Luce Hall as the venue. As a result of a meeting with
Diane Turner we have a budget of $6,000 for the party. More information
will be available at the next meeting about the caterers, food, and venue.
Holiday
Raffle: Diana asked all the committee members to solicit at least
three donations for the raffle. This will be a good start for it. The
website has a list of previous prizes and who donated them if you need
ideas. E-mail Diana with whom you are going to ask for donations so that
1 business doesn’t get 11 requests. 'Homemade’ prizes are
accepted too. A Yulib message will go out asking for those. Tax forms
will be available for businesses that donate items. All proceeds of the
raffle go to Columbus House.
Blood
Drive: Ruth has been in contact with people at HGS and the blood drive
is set for Tuesday October 12, 2004. It will be at HGS. Posters were given
out at the meeting to be posted in various libraries. Ruth thinks that
if there is a good turn-out for this we will be able to sponsor a blood
drive every 2 months. Since you can donate every 56 days that would be
an ideal time.
Odds
and ends: Diana brought up the idea that we as a committee should
have thank you notes to send out after events. The rest of the committee
thought this was a good idea. Especially after the New Staff Reception
and the Holiday Party where many staff members pitch in to make the event
a success. Amanda Patrick volunteered to come up with a design for the
note.
Next meeting
will be on October 21, 2004 in SML 410 at 2 pm.
