LiSA Minutes
September 29 , 2005
SML Machine City

Members present: Ruth Carruth, Kevin Glick, Pamela Clifford, Mike Rush, Patrick Butler, Maryetta Russell, Aubrey Novak, Lolly Lee.

Members Absent: Tara Kennedy, Susan Tucker, Bernadette Cioffi, David McMahon, Cesar Zapata.

Meeting convened at 2:00 p.m.

NEW STAFF RECEPTION:
The date will be October 24th, from 3:00 to 5:00 pm, in the Sterling Lecture Hall. There will be 45 new staff to introduce. Even though there was too much food last year, since there are more new staff, we won't reduce the amount of food. Kevin will put in the catering request soon. Kevin will investigate getting a cake from Lucibella's and Mike will inquire at Chestnut Foods (both local bakeries). There was discussion about whether the introductions should be started earlier than 3:30. The desk chairs in the SML Lecture Hall will have to be removed and the 30 folding chairs will be arranged around the room. Maryetta will arrange to have custodians move the chairs and will handle the billing for overtime. Bernadette will handle creating the nametags and getting sufficient nametag holders. Ruth will get carnations and some centerpieces from Shaws. Setup and cleanup volunteers will be revisited at the next meeting.

BOOK DRIVE:
The book drive ends September 30. Books will need to be picked up from non-library locations by September 30 or October 3. Committee volunteers will help sort out books that are in the LiSA closet at 2:30 in the afternoon on Tuesday, October 4. Ruth will arrange for the books to be transported to New Haven Reads.

HURRICANE RELIEF EFFORT:
Ruth will submit Checks that have been collected to the American Red Cross. Ruth clarified the university match policy, saying that they will match any amount, not just up to the previous $100 limit. The University matching program goes through December, but the LiSA collection effort has ended.

Q&A SESSION WITH SML ACQUISITIONS :
Ruth reported that she was asked to attend a SML Acquisitions meeting to answer some questions. They were unaware of the University's Hurricane relief efforts and Ruth briefed them on what the university and LiSA were doing. They also suggested other opportunities for people to help in the relief effort. LiSA will not undertake any more formal activities related to hurricane relief, but Ruth may distribute some more information to the library staff.

COMMITTEE CO-CHAIR:
Ruth asked for volunteers again. The new co-chair/chair for next year should come from someone new to the committee. The new committee members are Pamela Clifford, Tara Kennedy, David McMahon, Michael Rush, Maryetta Russell, and Susan Tucker. David was nominated, and Ruth will ask him to consider the position.

STANDING EVENTS:
Pamela volunteered to help Aubrey with the CT Food bank drive.

2006 FIELD DAY :
Mike called the contact person for New Haven park reservations to see what dates were available in July 2006. They do not take reservations till January, so Mike will call again then. Before calling, he will contact Alice to see what weekends are available for her, since she volunteered the use of her pool. The hiring of a lifeguard will be coordinated with Diane Turner. The date will be coordinated around SAA, ALA, RBMS, SLA, Teagle, AALL, and divinity librarian conferences.

HOLIDAY PARTY :
The holiday party will be held on Dec. 14 in the Beinecke, 4-6. We will use the same caterers as last year, La Petit Cuisine. Ruth will give Patrick a copy of the menu from last year for him to give to the caterer. Patrick suggested hiring student musicians to perform instead of playing recorded music.
