Members present: Ruth Carruth, Mike Rush, Cesar Zapata, Aubrey Novak, Susan Tucker, Patrick Butler, David McMahon.
Members Absent: Lolly Lee, Maryetta Russell, Pamela Clifford, Bernadette Cioffi, Tara Kennedy, Kevin Glick.
Meeting convened at 2:00 pm but was quickly redirected as the fire alarm sounded. The meeting regrouped in the Law Library (thanks Cesar!).
HOLIDAY RAFFLE:
More donations for the raffle were turned in to Mike, as were a number of purchased tickets and cash for Columbus House. Ruth mentioned that certain sections of the library would like to purchase raffle tickets from committee members. It was decided that Aubrey would visit the ILTS and Conservation Studio while Susan would visit the Business Office. Cesar suggested that we also consider asking those who are purchasing tickets if they might like to donate any items to the raffle. Mike will update the prize list and repost it to the LiSA website. He reported that we have a good number of raffle prizes to give out at the party. It was decided that we would hold gift certificates that were won in a box or bag aside from the tables where the larger more tangible prize items would be laid out. We will use two 8 foot tables from the caterers for the prizes. The band will play two sets beginning at 4:00 pm. They will play until 4:45 pm and take a 15 minute break, after which they will play from 5:00 pm until 5:30 or 5:45. We will announce the raffle prize winners after the musicians are through. Ruth stated that the Beinecke has a podium and microphone that we can use to make the prize announcements. On Monday Tara will send out another e-mail about the holiday party that informs people that we will be selling raffle tickets until we draw the prizes at the party. Two committee members (one upstairs and one downstairs) will be selling raffle tickets during the party. Most likely we will rotate those responsible for selling the tickets. Mike will make up packages of tickets for the sellers at the party. It was decided that LiSA members can pull raffle tickets out of the tin. Mike will collect unclaimed prizes and we will discuss how to distribute them at the meeting on the 15 th of December.
HOLIDAY PARTY:
As far as set-up we will mostly be responsible for decorations, which Ruth will bring from home, and for pushing the chairs to the sides. The caterers will handle most of the set-up, and will also be bringing soda and water in addition to the food. Assisting with set-up duties will be Ruth, Patrick, Mike, and Susan. Set-up will begin about 3:15 or 3:30 pm. So far for clean-up Tara and Aubrey have volunteered. The e-mail that Tara sends out on Monday about the Holiday Party will also remind employees about bringing dessert (if they wish to) and asking them to use an index card with the ingredients of the dish listed. There will be a large round table upstairs on which we can place the desserts, and the ticket sellers or other committee members can direct those bringing desserts. Ruth will also bring plates and forks for the desserts. Ruth will contact Bernadette about name tags for the LiSA committee members. We received the film to use with the library's Polaroid camera, and Aubrey will also take digital photographs. We will need written permission of those in the picture if we want to post it on the website.
FOOD DRIVE FOR CT FOOD BANK:
New signs were made to put on the boxes. There are sturdy boxes left over from the book drive in the LiSA closet packaged in long white boxes. When the donation boxes are full, we can store donated items in the LiSA closet until the Food Bank picks it up. We can use Eli Express to send out and retrieve boxes. We will need to tell them where to send the boxes. Full boxes from outlying locations can be collected from the shipping room and transferred to the LiSA closet for storage. Cesar will put up a box in the Law Library, Ruth will put a box at the Beinecke, and Susan will bring one to the Art & Architecture Library. Pam, Aubrey and Susan can poster the new boxes.
