LiSA Minutes
October 19, 2006
N101 Conference Room at the Institute of Sacred Music, Divinity School

MEMBERS PRESENT: Pina Laursen, David McMahon, Maryetta Russell, Sarah Burge, Gareth Gibson, Mike Rush, Tara Kennedy.

MEMBERS ABSENT: Susan Tucker, Melissa VanTine, Paula Zyats, Pamela Clifford, Andrew Gray, Kathryn James.

Meeting convened at 2 PM.

CO-CHAIR:
LiSA will vote on nomination of co-chair when there are at least ten members present to vote (a quorum).

NEW STAFF RECEPTION:
Committee members were asked to volunteer their time on Monday, October 23 to help with the New Staff Reception. Pam and Maryetta will help set up; David, Mike, Sarah, and Tara will help during the reception; Susan and the remaining people who are helping during the reception will help with clean up. The cake is all set. Andrew is taking care of the nametags. Maryetta spoke with Paula concerning the carnations and she believes that Paula is taking care of this through the florist that they usually use, Glen Terrace.

HOLIDAY PARTY:
The date is Wednesday, December 13 (yes, this is correct) from 4-6pm at the Beinecke, Mezzanine. Some of the issues from last year will be addressed such as:
Having at least 2 tables to hold the food to prevent overcrowding
Having either more passed food, or holding back more of the food so that the people arriving later will have food
Putting the dessert out at a designated hour later during the party so it doesn't all disappear before later people arrive
We might have cupcakes or some dessert catered, depending upon the quotes received from the caterer
Having more plates and utensils; we ran out last year
Running out of beer very quickly

There was discussion about alcohol, and the beer shortage we had last year. Gareth suggested using New England Brewery, but we were not sure if we could use kegs. Tara also mentioned that Melissa asked if we could have an alcoholic punch. Mike asked Jen, the Events Coordinator at the Beinecke, and it was a "yes" for the punch as long as the bartender serves the punch; it was a "no" for the kegs, as they are not permitted at the Beinecke.

Decorations were discussed. We have decorations in the LiSA closet, but Gareth mentioned that his department has a number of holiday decorations that we could use to decorate for the party, since his department no longer uses them. Tara suggested that Gareth's department donate the decorations to the LiSA committee.

Joe from the Beinecke cannot be Santa this year, but Tara said that her fiancé, Tim Reilly, would be willing to be Santa, but he would need a costume. Mike will check to see if we can use Joe's costume, but there was some concern about it fitting Tim. If not, Tara and Tim will look into renting a costume .

HOLIDAY RAFFLE:
There was some discussion about changing the charity, but it was decided that Columbus House would be the charity that we are raising money for. Andrew is updating the acknowledgement form that we give to donating parties. Mike handed out the information letter that we can give and/or show to prospective donating parties, and an outline of the Holiday Raffle guidelines. Mike will also email these documents to all LiSA members. Mike will assign areas to LiSA members to solicit for donations and send the assignments out to the LiSA committee members. Mike thinks that we should start soliciting donations as soon as possible once we get our assigned target areas.

OTHER TOPICS:
Gareth spoke with Thomas Murray in reference to the Woolsey Hall Organ Tour. Mr. Murray said that we could do Nooks and Crannies tours for the organ in the fall and the spring, limited to 15 people per tour.

David is interested in creating a photo web page and asked if there was a LiSA photo archives. Maryetta thought that Library Links might be a source for LiSA-relavant photos; she suggested that David ask Andrew about that .

The meeting was adjourned around 2:50 pm.
