MEMBERS PRESENT: David McMahon, Pina Laursen, Maryetta Russell, Tara Kennedy, Mike Rush, Kathryn James, Andrew Gray, Susan Tucker, Melissa Vantine.
MEMBERS ABSENT: Sarah Burge, Gareth Gibson, Paula Zyats, Pamela Clifford.
Meeting convened at 2:10 PM.
HOLIDAY PARTY:
The date is Wednesday, December 13
Wine Thief will supply the wine and beer for the party. Some discussion occurred about how much beer to provide, as we ran out last year. Beer types were discussed, light versus dark, import versus domestic. It was decided that we would have the bartenders pour the beer into cups to make sure that we do not run out of beer.
There was some discussion about dessert solicitation, and some concern that not enough people would bring desserts. Members of the LiSA Committee present agreed that they would bring some dessert, whether homemade or store bought. Pina agreed to make a poster to distribute to LiSA members that could be hung up in staff areas, asking library staff to make desserts. People who do volunteer to make the desserts will give their dessert to a LiSA member for safekeeping until the Holiday Party later that day. Desserts should include a list of ingredients for people with food allergies. It was decided that the desserts would be held back either in the caterer area or behind the security desk at Beinecke until around 5pm, when the desserts will be put out for all to enjoy.
Caterer will be Le Petit Gourmet. Melissa and Tara are meeting with the caterer this Monday to straighten out all of the logistics, as there was some difficulty getting a hold of the caterer, as she is very busy.
Flowers: Melissa looked into wholesale large poinsettias (10" pot) as centerpieces for the large round table. Melissa suggested that the poinsettias could be auctioned off during the party. Mike and Kathryn agreed to do this. It was also suggested to ask if there might be some flower arrangements that would be used for another Beinecke event that we could then use for the party.
Music: the same jazz band we used last year agreed to do the gig again for the same amount of money. Tara will check into what equipment needs the band will require. It was decided that no music would be necessary between band sets.
Decorations: there are four boxes of Holiday decorations sitting in the Preservation Department. Melissa volunteered to go through them. Tara also suggested that Gareth go through them, as he works in that department.
Santa: the set "Santa Time" will be from 5-5:30pm.
A projector as a decoration was suggested. Tara knows that her mom has one that she does not use, so she will ask her if she can borrow it. Otherwise, a standard projector might be used instead.
The next LiSA meeting is when Melissa and Tara will solicit help from other LiSA members for setup and cleanup.
HOLIDAY RAFFLE:
Kathryn handed out the solicitation areas again to make sure people signed up to target areas for donations. Tara and Pina picked up additional areas, Upper Chapel and Wooster Square , respectively.
Mike suggested that LiSA members look at past raffle prizes to see which businesses donated previously. He also suggested asking the name of the manager for follow up.
Kathryn suggested Friday mornings as a good time to go, as people tended to be cheerful, managers were available, and it was not too busy.
So far, the total number of prizes is 30 items. Last year, we have over 80 prizes; so let's get cooking!
Mike handed out rolls of 100 tickets for LiSA members to sell. Tickets are $1 each. He will send out an announcement after Thanksgiving when he has a bigger list of prizes.
December 12 th is the deadline for all prizes to be in Mike and Kathryn's hands.
