MEMBERS PRESENT: David McMahon, Pina Laursen, Maryetta Russell, Tara Kennedy, Mike Rush, Kathryn James, Andrew Gray, Susan Tucker, Sarah Burge, Paula Zyats, Pamela Clifford, Melissa Vantine.
MEMBERS ABSENT: Gareth Gibson.
Meeting convened at 2:07 PM.
HOLIDAY PARTY:
The date is Wednesday, December 13
Tara sent out a notice to YULIB reminding everyone about the Holiday Party. On this announcement was the caterer's menu, an announcement for Santa between 5-5:30pm, another call for baked goods, and a reminder about the Holiday Raffle. Tara also asked that people give their baked goods to a LiSA member at the party so that they can be served "staggered" so they are not all eaten quickly.
Tara recommends that the caterer be given at least two months notice to plan for the party, as the holiday season is so busy for caterers.
Wine Thief will deliver the alcohol at 2:30pm. The caterer will arrive at 2pm for setup.
Dessert: Pina made a poster for LiSA committee members to hang in their office areas .
Santa: Paula volunteered to get little "prizes" for Santa to hand out, like candy canes or something simple like that. There was a Polaroid camera in operation last year and it is believed to be in LAS. Maryetta will look into getting film for the camera.
Volunteers: Setup: Paula, Sarah and Pina. They will primarily be decorating for the setup. Cleanup: David, Pam, Tara and Melissa.
Music: the same jazz band we used last year agreed to do the gig again.
Decorations: we will use the items in the LiSA closet and the few items from the decorations from the Preservation Department.
Tara and Melissa need to get additional nonalcoholic beverages for the party. Tara will take a trip to BJs with Mike.
HOLIDAY RAFFLE:
We have about 40 prizes at this point, but many people handed in many prizes to Mike. He will send out an updated list of prizes.
Maryetta, Susan, Paula and Kathryn will sell raffle tickets by the door from 4-5:15pm.
Pam will assist with the "prize board" for the raffle.
Maryetta suggested that the first raffle draw be for the Omni Hotel overnight stay, as that is the "biggest" prize.
Be sure to get the following on the raffle ticket written clearly: name, department and office phone number.
Maryetta will order an additional roll of tickets since we'll be selling them at the door.
December 11 th is the deadline for all gifts.
David will call a meeting on December 11 th for any last minute logistics and to give Mike and Kathryn the remaining raffle prizes. The meeting will be at the Beinecke.
CO-CHAIR VOTE :
All present LiSA members votes unanimously for Gareth Gibson as co-chair of the LiSA Committee.
The meeting was adjourned at 2:35 pm.
