MEMBERS PRESENT: David McMahon, Pina Laursen, Maryetta Russell, Tara Kennedy, Mike Rush, Kathryn James, Melissa Vantine, Sarah Burge, Paula Zyats.
MEMBERS ABSENT: Gareth Gibson, Susan Tucker, Andrew Gray, Pamela Clifford.
Meeting convened at 2:05 PM.
HOLIDAY RAFFLE:
Kathryn told the committee that the actual total given to Columbus House was $2,736 with 138 prizes. Mike drew up instructions on how to conduct the Holiday Raffle. All of the paperwork was passed on to Kathryn for next year. His suggestions for the next chairs: Keep it as simple as possible and keep good records. Mike also mentioned that one of the staff members at Columbus House said that they could give a tour to the LiSA Committee members if we wanted to see the facility. We will wait on this until we receive the acknowledgement letter from the donation.
HOLIDAY PARTY:
The attendance total was 356 people, according to the security staff at Beinecke. The co-chairs managed to remain under budget, but we could have spent more money on food since there more over 100 more people than expected: The catering was prepared in expectation of around 250 people. Kathryn suggested that maybe we could ask for additional funding, since more people are attending. Holding back the desserts and putting them out sporadically helped us not run out of desserts. Pina said that we needed plates for the dessert, since there were desserts like cheesecake. There will be discussion looking into where the Holiday Party can be next year, as Beinecke was too crowded, resulting in more food and drink spilled on the floor. There were also additional security issues, such as children running about unsupervised, and since it is a mezzanine, children could get hurt. Woolsey Hall charges a head count for appetizers, but not for a sit down meal. The charge for the appetizer reception is $3 per person. Yale Catering may then be our only option, but they may be less expensive, which might stretch our budget further.
NEW STAFF RECEPTION:
We need to set a date, arrange catering, and make sure that all AULs can attend during the date. David will check to see who, if anyone, volunteered to chair the New Staff Reception. We are looking at having the Reception in late March or early April. The space was well received for the last reception, so we may have it there again. One point Paula noted: Have containers and wrap ready for possible leftovers.
SPRING FOOD DRIVE:
Maryetta is the chair for this event, with assistance from Pina and Paula. The Connecticut Food Bank would like us to conduct the food drive before Easter, which is in early April. Maryetta asked that we start the food drive around the end of February/ beginning of March. The libraries that will have boxes to collect food will be those on the LSF route: Divinity, SML, Kline, Mudd, Social Science, Medical, Engineering, Art and Architecture, Drama, and Law. There was some discussion as to where to store the food until it can be delivered or picked up by the CT Food Bank (they indicated that they would pick up the food if it was "more than a carload"). We used shipping and receiving in SML last time, but that will not be possible this time. There wasn't enough room and some of the food was damaged due to other items running into the boxes. The only place we could think of was the LiSA closet, but it will be difficult to deliver the boxes of food back and forth. Maryetta will ask John Vincenti if there is any space available for us to use to store food. Maryetta also asked about boxes for the food collection. Melissa thought that she might be able to save boxes that could be used.
BOOK DRIVE :
This may occur in the summer or fall; David did not want to have two drives happening simultaneously.
NOOKS AND CRANNIES TOURS:
David will bring in the list for the next meeting for people to sign up to organize tours.
