Meeting convened at 2:07 PM.
NEW LiSA MEMBERS / TURNOVER:
- Next meeting 6/28/07 will include new elected members and departing members.
- David (departing Chair) is creating a contact list and event planning management guide book to be available on CD-Rom and in print.
- David will also create new L.I.S.A. web page introduction and will meet with Gareth (co-Chair) to discuss new role of Chair and duties and details of position. They will also meet with Debbie McGraw and Diane Turner.
- Andrew (ex-officio) will take control of web site management in place of Mike Rush who will be departing.
- New group will start planning events ( i.e. Holiday party) starting 7-12-07
- New group will assist in moving supplies from sick room to L.I.S.A closet area.
- No changes to annual budget funds for FY '07-08
ICE CREAM SOCIAL:
- Live music has been planned for social , there were some questions in regards to amplification and volume issues.
- Balloons will be blown up in advance to reduce hissing noise from tank during social event.
- More children are expected to attend this year than last year.
- Sarah will email Yulib to request volunteer scoopers for the ice cream, and coordinate scooper teams and their schedules.
- Event coordinators will meet with custodial to coordinate maintenance activity.
- Alternative date will be set as next day in case of rain.
- David will report current supply inventory and Gareth will set up shopping time and travel to BJ's or supply distributor to purchase items needed for event. Items to be paid for with SML- account card.
- Tent or over head canopy will be bought or rented for event.
STAFF ART EXHIBIT:
- Melissa reports she has 30 staff members who have signed up to exhibit their art works.
- Decision to extend submission deadline was made.
- Artworks when submitted will be tracked by receipt system.
- Use of black mat board will be used as mount / backing for art. Sarah will donate the black matt board for the event.
- Pamphlet will be designed in advance and completed days prior to exhibit opening. Pamphlets will be placed in crafted holders to be placed in corridor entrances.
- Pamphlet will also be digital and sent out via Yulib email.
- Discussion of getting mentions of the pamphlet in campus publications (i.e. Library Links, Working @ Yale, YDN)
- Event coordinators will have discussion with Diane Turner about the printing of the pamphlet on color printers in LHR
- Melissa will send email to artists in regards to display instructions and new submission time line etc.
NOOK & CRANNIES TOURS:
- Tour of Preservation tour on Wednesday Aug. 15th
- No new tours scheduled at this time.
