LiSA Minutes
September 6, 2007
Sterling Memorial Library - Conference Room
Meeting convened at 2:10 p.m. by Gareth Gibson.
Attending: Gareth Gibson, Barbara Heck, Laura Tatum, Kathryn James, Melissa Van Tine, Daniel Hartwig, Pina Laursen, and Andrew Gray.
Gareth introduced Diane Turner of Library Human Resources. The LiSA budget is provided by HR and there were several questions about the amounts of money available and expenditure procedures. The budget for the Holiday Party is $6200.00 which would include expenses for venue, food, alcohol, and activities. The Party Committee should contact HR before finalizing the date to ensure that all AULs can attend.
Diane mentioned that HR also provides monies ($6200 total) for two new employee receptions per year. The receptions are usually held in the SML Lecture Hall on a weekday other than Friday from 3-5 p.m.
Diane also reiterated that we should contact HR prior to employing anyone so that they could be promptly paid and tax requirements could be met. She mentioned that the Committee members should use a P Card rather than seeking reimbursement through the employee reimbursement system.
HR also allocates $250.00 for the Committee Fair for all expenses. The Red Cross Blood Drives do not receive an allocation, but supplies that are left from other LiSA projects may be used for the Blood Drive. If the blood drives become a permanent LiSA project, then we could ask HR to consider an additional allocation.
The question of the possibility of adding a Treasurer/Co-Treasurer was raised by the Committee members at the last meeting. Diane said that this would necessitate a change in the LiSA bylaws, but was possible. She emphasized the importance of all Committee members being aware of what is being spent on our projects.
The Committee members expressed their appreciation for Diane’s (and Human Resources’) support of our functions throughout the years. Diane then left the meeting.HOLIDAY RAFFLE:
Kathryn as co-chair had sent LiSA members a list of potential donors by locations to use as a starting point for our solicitations. Committee members then updated the list by accepting additional geographic areas for solicitation. Pina will talk with Maryetta Russell about other possible donees of the proceeds. Gareth will also speak with Molly Wheeler on the same subject.
HOLIDAY PARTY:
Melissa and Barbara (co-chairs of the Holiday Party) discussed their investigation of alternative venues. Kathryn James said that the Beinecke renovation would be complete by November 23rd if we want to use their space. The group discussed possible children’s activities such as reading or crafts, in addition to the visit by Santa Claus.
COMMITTEE FAIR:
The Fair will be held on October 22, 2007. LiSA has a budget of $250.00 for the refreshments, tables, and staffing in the Sterling Lecture Hall. Gareth mentioned that LiSA could have a laptop that showed slides of LiSA events.
BLOOD DRIVE:
Gareth talked with the Red Cross blood drive representative. They will have to inspect the proposed venue before confirming the date. McDougal and the Law School are options for a fall drive.
NOOKS & CRANNIES:
The tour of the Yale Observatory went well. The next tours will be of the Peabody Museum and Yale Sustainable Agriculture. Pina will see in the Benjamin Franklin Papers project would be willing to host a tour.
WEB PAGE:
Gareth reported that the web page had been updated and would soon include the Staff Art Exhibit. If anyone has further suggestions, they should e-mail Clayton about them.
MEETING TIME AND PLACE:
The next meeting will be Thursday, September 20 at a location to be determined from 2:00 to 3:00 p.m..
