LiSA meeting minutes, 11/20/08

Attending:  C. McGahee, A. Gray, B. Heck, M. Agata, S. Johnson, M. Luthra, L. Tatum

HOLIDAY PARTY 2008

  1. Raffle prize letters have been sent out; some prizes are already coming in.
  2. K. Eow will send out letter to staff soliciting raffle donations.  B. Heck offered space in MSSA to store donations.  A. Gray volunteered fridge near Spoon to store day-of-party desserts and appetizers.
  3. Email soliciting desserts will go out to YuLib after Thanksgiving.  Desserts (and any appetizers) must be labeled with ingredients for potential allergens.
  4. B. Heck reports that budget for party is $7500 (slightly higher than last year).  Bands are in the $200-$250 range; K. Eow will make final selection.  Need to coordinate A/V needs, etc.
  5. 1st menu received from Yale Catering:  $6000.  2nd menu:  $3000.  Need to lock in a regular menu.  Idea:  at least one appetizer-like item brought by each of the libraries as a potluck supplement.
  6. Need Yale Police for alcohol party.  Unclear whether John Vincenti will provide security free of charge. 
  7. Staff cannot be bartenders by law.  Charge is $29/hour for trained bartenders.  Yale Catering will provide biodegradable utensils. 
  8. Three Green Team members will help set up party and help partygoers throw away their trash/recyclables in appropriate containers.  Perhaps Green Team will also make a placard detailing what sustainable measures have been taken for this event.
  9. LiSA will meet a few days before event to confirm logistics. 
  10. “Santa” is a go.
  11. K. Eow will get help from A. Gray to transport poinsettias.
  12. L. Tatum will be in charge of decorations.
  13. LiSA members will also need to sell raffle tickets the day of as well as week before.  All libraries need coverage.  This should also go in K. Eow email to YuLib.
  14. C. McGahee will list raffle items on LiSA webpage.  Checks may be written for tickets, made out to Columbus House.

TOURS

  1. Divinity Library last week (S. Johnson)
  2. New Haven Historical Society Dec. 3rd (C. McGahee)
  3. S. Johnson trying to coordinate a tour of renovated Arts Library.

NEW STAFF RECEPTION

  1. Turnout slightly low.
  2. Excellent food provided by Publick Cup.
  3. All AULs attended.
  4. Final invoice for food has not yet arrived; possible savings could be passed over to fund for Holiday Party.
