Procedures for
Transferring Material Shelved at the LSF to an On-Campus Library
1. Selectors
choose items to be shelved off-campus in the Library Shelving Facility with great
care, but it is always possible that a selector may wish to transfer material
permanently from LSF in order to house it as part of an on-campus collection.
An annual review of all materials shelved at LSF identifies items that have been
returned to campus more than once in the previous year. A list of these materials
is then provided to the appropriate selectors with directions detailing a procedure
for requesting any or all of these materials to be returned to campus. Selectors,
however, have the option of requesting the transfer of materials shelved at LSF
at any time. When making such requests, the following procedures should be
followed:

All requests for transfers must be submitted to the LSF Manager via the webform
"LSF Transfer to an On-Campus Library.

Requests must include the name and campus affiliation of the person to whose
attention the items should be directed.

The request must include a list of barcodes (14 digits typed consecutively) for
those items the requester wishes to transfer.

The request must include the new location and item type for the transferred material.
6. Upon
receipt of a properly formulated request for a transfer via the webform, the
LSF Manager will retrieve the material, complete the necessary processing, and
return the item(s) to campus within one business day. Items which are transferred
will be returned to the appropriate campus library accompanied by both a packing
slip and a flag that calls the recipient's attention to its special status (Example:
"This Item has transferred From LSF; Route to Divinity Library ATTN: Susan
Burdick."). If the item to be transferred has already been requested, retrieved,
and delivered to the on-campus library, the LSF Manager will complete the necessary
processing and send a transfer notice to the selector or his/her designee via
campus mail within one business day. The Manager will also notify the selector
or his/her designee via e-mail that the transfer has been completed.

The LSF Manager will change the location and item type for each transferred item
to reflect its new location in the OPAC within one business day of the item's
transfer.
