RECORD EVALUATION:
When a MARC record load request is sent, Catalog Management and Productions Systems will:
1. Add the record set information into the MARC record load queue.*
2.
Evaluate the available records for content and structure.
3.
Load records into TOrbis and review the results.
4. Based on this review they will determine the following:
To what extent the records need to be modified to meet our cataloging standards.
A general plan for maintaining the records (if they require routine updates).
A level-of-effort for this work for both Catalog Management and Production Systems.
NOTE: Because records sets can differ greatly from one another in size, content and quality, the Record Evaluation period may be quite simple and short or longer and more involved. Please keep this in mind when submitting your record load request.
For more details on the timeframe involved in completing a record evaluation, please see our Service Agreement.
RECORD SETS IN THE MARC RECORD LOAD QUEUE:
When Production Systems and Catalog Management have finished evaluating the records, they will give the records an Approval date and an Expected load date, and refer the records to the Authority Control Librarian to determine if the records need to be sent to MARS for authority control processing.
Once the records are sent back from MARS with an accompanying file of authority records, they are ready to be loaded to production Orbis.
The Expected load date is determined based on several criteria:
Size (number of records)
If records are new to Orbis or updates to existing records in Orbis
Record preparation
Date of record load request
Date records were received (after submission of request)
*Record sets can go into the MARC record load queue BEFORE the MARC records are actually received. However, they will not receive an Approval date or an Expected load date until we receive and evaluate the records themselves.
